Please do not apply if you are not prepared to register as self-employed.Essenza Escapes is a luxury travel provider specialising in villa rentals and bespoke itineraries in Italy. As we continue to grow, we are looking for an experienced Travel Planner to join our team and design exceptional journeys for our discerning, predominantly US-based clientele.This role sits at the heart of the client experience: from the first enquiry through to a smooth post-trip handover, you will be the creative and commercial mind shaping each itinerary, working closely with travel agents, property owners and local suppliers across Italy.KEY RESPONSIBILITIESDesign bespoke itineraries tailored to each client's preferences, interests and travel style.Lead client communication from enquiry through to departure, building rapport and trust with both direct clients and travel agent partners.Source, quote and confirm villas, experiences,
transfers and other services, negotiating terms with suppliers and property owners.Produce accurate, polished and timely client-facing documentation.Maintain meticulous records in our CRM system, ensuring every itinerary detail is captured and accessible to the wider team.Support clients during their stay, anticipating needs and resolving any changes or issues swiftly.Build and nurture long-term relationships with travel agents, property owners and ground partners across Italy.Contribute commercial thinking to each itinerary, balancing client satisfaction with healthy margins.Low seasonIn quieter months, when fewer clients are travelling, you will support the wider team with a broader range of tasks. These may include property inspections in Italy,
reviewing and refreshing supplier documentation, researching new destinations and experiences, sourcing new suppliers, and contributing to projects that improve how we deliver. This is also when you get to deepen your destination knowledge and visit properties first-hand — one of the most rewarding parts of the role.Skills & Experience RequiredProven travel planning experience: ideally within luxury villa rentals, bespoke travel or high-end DMC operations in Italy.Deep knowledge of Italy as a destination: regions, seasonality, hidden gems and the practicalities of moving guests between them.Exceptional client service instincts: the ability to anticipate, listen and tailor recommendations to a luxury clientele.Strong commercial judgement:
able to create win-win solutions for clients, owners and the business.Excellent writing skills: itinerary documentation should be clear, evocative and brand-aligned.Confident negotiation skills with suppliers, owners and partners.Strong organisation and self-discipline: remote working requires high personal accountability.Flexibility around US client time zones: evening and occasional weekend email coverage is part of the role.Confident with technology: CRM systems, Microsoft Office and digital tools.WHAT WE OFFERA competitive package based on the candidate's profile (see note on salary below), plus a performance-based premio.Fully remote working,
