Position Overview
We are seeking a highly organized and detail-oriented HR Operations Specialist to join our team. The HR Operations Specialist will play a crucial role in supporting the day-to-day operations of the Human Resources department, ensuring smooth and efficient processes across various HR functions. This role requires a thorough understanding of HR operations, strong analytical skills, and exceptional communication abilities.
Responsibilities
- Administer and manage HR systems, including employee data management, benefits administration, employee self-service portal, time and attendance system, etc.
- Process HR transactions, such as new hires, terminations, promotions, transfers, and benefits enrollments, ensuring accuracy and compliance with company policies and guidelines.
- Address employee inquiries and provide guidance on HR policies, procedures, and programs.
- Assist in the development and implementation of HR policies, procedures, and guidelines in alignment with local laws and regulations.
- Conduct regular audits to ensure HR data integrity and provide data reports to support business needs.
- Assist with HR projects and initiatives, such as talent management, performance reviews, employee engagement activities, etc.
- Stay updated on HR best practices, industry trends,
and legal requirements to ensure compliance and propose process improvements.
- Act as the point of contact for employees and suppliers regarding benefits.
- Manage order requests for meal vouchers, including handling cases of lost, stolen, or deactivated vouchers: inserting new users and ordering new cards.
- Ensure that new hires are included in the insurance coverage and all other benefits.
- Serve as the primary contact for suppliers to renew coverages and update the list of employees on a yearly basis.
- Collaborate with payroll and finance teams to ensure accurate and timely processing of payroll and benefits-related payments, including payroll file controls.
- Maintain data accuracy to ensure excellent quality service.
Qualifications
- Bachelor's degree in Human Resources, Business Administration, or a related field.
- 5+ years of experience in HR operations, HR administration, or related roles.
- In-depth knowledge of HR systems and applications, including HRIS (Workday), ATS, and payroll process.
- Strong understanding of HR processes, policies, and procedures.
- Excellent organizational skills with the ability to handle multiple tasks and prioritize effectively.
- Exceptional attention to detail and strong analytical skills.
- Excellent verbal and written communication skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Proficiency in MS Office applications, including Excel, Word, and PowerPoint.
- Knowledge of local labor laws and regulations is preferred.
- HR certification (e.g., PHR, SHRM-CP) is a plus.
- English/Italian Fluency.
Estimated compensation for this position: 35,000.00 – 45,000.00 EUR per year.
Location: On-site –Milano, ITA
