Role Overview The Logistic Coordinator will support the planning, coordination, and execution of travel and accommodation arrangements for Balich Wonder Studio employees, freelancers, and project teams across international productions and events.
Working closely with Project Teams and external travel providers, the Logistic Coordinator will ensure efficient and cost-effective management of travel logistics while maintaining a high level of service and compliance with company policies.
This role requires excellent organizational skills, attention to detail, and the ability to manage multiple requests and priorities in a fast-paced international environment.
Main Responsibilities
- Coordinate domestic and international travel arrangements, including flights, hotels, ground transportation, visas, and travel documentation.
- Manage travel requests from internal teams and support project staffing mobility requirements.
- Liaise with travel agencies, suppliers, hotels, transportation providers,
and other external vendors.
- Monitor travel budgets and ensure compliance with company travel policies and project requirements.
- Maintain accurate travel records, itineraries, and logistics databases.
- Support the preparation and tracking of travel-related purchase requests and expenses.
- Coordinate accommodation allocations and rooming lists for project teams.
- Assist with visa applications, invitation letters, insurance documentation, and travel compliance requirements.
- Provide logistical support before, during, and after events and productions.
- Handle last-minute travel changes, cancellations, and emergency situations efficiently.
- Collaborate with HR and Project Teams to ensure smooth onboarding and mobility of international staff.
- Prepare reports and provide administrative support related to travel and logistics activities.
Requirements
- 2–5 years of experience in travel coordination, logistics, hospitality, operations, or administrative support.
- Experience managing international travel arrangements and supplier relationships.
- Strong organizational and multitasking skills.
- Excellent attention to detail and problem-solving abilities.
- Ability to work under pressure and manage changing priorities.
- Proficiency in Microsoft Office, particularly Excel.
- Experience with travel booking platforms and logistics management tools is considered a plus.
- Fluent English and Italian, both written and spoken.
- Additional languages are considered an asset.
- Previous experience in events, entertainment, hospitality, tourism, or large-scale projects is a plus.
