Position Overview
We are looking for an International Sales Back Office Specialist to join our International Sales Department at COSMED HQ.
This role is ideal for a proactive, organised and customer-oriented professional who enjoys working in an international environment and supporting sales operations from order entry through to shipment coordination and customer follow-up.
The selected candidate will act as a key point of contact between international customers, Area Managers, sales teams and internal departments, ensuring accurate order management, smooth communication and a high level of customer satisfaction.
Key Responsibilities
Order Management and Customer Support
- Manage the full order lifecycle, including order entry, confirmation, tracking and follow-up.
- Review purchase orders to ensure accuracy of pricing, terms, quantities and product codes.
- Act as a central point of contact for customers and internal departments regarding order status, delivery updates and related issues.
- Handle order-related queries, delays and escalations, ensuring timely and effective resolution.
International Sales Support
- Support Area Managers and sales teams in their daily activities.
- Maintain and update the CRM system, preferably Odoo, including opportunities, sales cases and pipelines.
- Proactively liaise with customers to support commercial initiatives and business development activities.
- Prepare reports and analysis for senior management.
Logistics and Shipping Coordination
- Coordinate shipments with freight forwarders, carriers and internal departments.
- Monitor shipping timelines and follow up to ensure compliance with agreed delivery schedules.
- Negotiate freight costs and conditions with the aim of optimising company performance.
Cross-functional Coordination
- Liaise with Production to align order timelines and product availability.
- Work closely with Administration to verify payment status and support the release of orders for shipment.
- Ensure effective communication between internal departments and external stakeholders.
Customer Base
Main clients include hospitals, universities, research institutions, and sports/medical facilities.
Ideal Candidate Profile The ideal candidate has previous experience in Sales Back Office, Customer Service, Order Management or similar roles in an international business environment. A degree or diploma in business,
languages or related fields will be considered a plus.
We are looking for someone with strong organisational skills, attention to detail and the ability to manage multiple priorities in a dynamic environment. The role requires a customer-oriented mindset, good communication skills, a problem-solving attitude and the ability to work both independently and as part of a team.
Requirements
- 1 to 3 years of experience in Sales Back Office, Customer Service, Order Management or similar roles in international environments.
- Fluent English, both written and spoken.
- At least one or two additional foreign languages at professional level.
- Good knowledge of Microsoft Office, especially Excel, Word and PowerPoint.
- Experience with CRM or ERP systems, preferably Odoo.
- Familiarity with order management and export processes will be considered an advantage.
