Global TechOpS oversees the entire lifecycle of the drug: from process optimization and industrialization, to manufacturing, engineering, quality oversight, and supply chain management. Throughout this journey, Operational Excellence drives continuous improvement. This end-to-end model is powered by our four manufacturing sites - Parma (IT), Blois (FR), Santana de Parnaíba (BR), and Nerviano (IT) - together with our Virtual Plant network of external partners. /p h3This is what you will do /h3 pProvide high-level administrative, organizational and operational support to the Senior Vice President, Manufacturing Engineering and the Global Engineering Leadership Team. /p pThe role is responsible for ensuring efficient day-to-day operations, supporting governance activities, coordinating administrative processes, monitoring cost centers and headcount data, and facilitating communication across internal and external stakeholders. /p h3You will be responsible for /h3 pbExecutive Support /b /p ul liManage the calendar of the Senior Vice President, Manufacturing Engineering, ensuring effective prioritization of meetings and activities. /li liCoordinate internal and external meetings, workshops, leadership events and business reviews. /li liPrepare agendas, presentations,
meeting materials and pre-read documentation. /li liTrack actions and follow-up activities arising from leadership meetings. /li liSupport the Senior Vice President and Leadership Team in managing communications and organizational activities. /li /ul pbOffice Management Administration /b /p ul liOrganize business travel, accommodation and related logistics. /li liManage travel expense reports and related documentation. /li liSupport document management and filing activities. /li liCoordinate team meetings, workshops and events. /li /ul pbSAP Procurement Support /b /p ul liCreate and manage Purchase Requisitions (PR) within SAP. /li liCoordinate Service Entry Sheets (SES), purchase orders and invoice-related activities. /li liLiaise with Procurement, Finance and suppliers to ensure timely processing of requests. /li liMonitor open purchase requests and ensure proper follow‑up. /li liSupport contract and supplier administration activities when required. /li /ul pbBudget Cost Control Support /b /p ul liSupport monitoring and reporting of the Global Manufacturing Engineering Opex budget. /li liMaintain and update budget tracking files and cost center reports. /liliPrepare regular reports and analyses to support management decision-making. /li liMonitor expenditures and identify variances against budget. /li liCoordinate with Industrial Controlling and Finance on cost center‑related activities. /li /ul pbGovernance Cross-Functional Coordination /b /p ul liSupport governance processes within Global Manufacturing Engineering. /li liEnsure proper coordination between Global Manufacturing Engineering and TechOpS governance routines. /li liSupport transversal projects and initiatives across different functions and sites. /li liEnsure timely collection, consolidation and distribution of information required by leadership. /li /ul pbReporting Data Analysis /b /p ul liPrepare reports, dashboards and presentations using Excel and PowerPoint. /li liAnalyze and consolidate data from different sources. /li liMaintain tracking tools and databases. /li liSupport management reporting activities and preparation of executive presentations.
/li /ul h3You will need to have /h3 ul liAt least 6 months of experience in Executive Assistant, Office Manager, Administrative Coordinator or similar roles. /li liFluent Italian and English /li /ul ul liAbility to manage multiple priorities in a dynamic international environment. /li liStrong organizational skills /li liStakeholder Management Communication /li liProblem Solving, Proactivity Attention to Detail /li liConfidentiality, Professionalism Independent Working /li /ul h3We would prefer for you to have /h3 ul liKnowledge of SAP /li liKnowledge Excel and PowerPoint /li liProven experience supporting senior leaders in an international environment. /li liExperience managing complex calendars, meetings and business priorities. /li liExperience with procurement and administrative processes. /li liExperience in cost centers tracking and reporting activities /li /ul h3Location /h3 pFlexible /p h3Compensation Range /h3 pThe minimum salary for this role is €39.000, aligned to our established salary framework.
