**About the Role** Position Overview**:
The Coesia Passport & Visa Specialist is responsible for managing all aspects of entry requirements and visa arrangements for employees. This includes the supervision of all immigration arrangements, ensuring compliance with policies, visa requirements, and providing support for international travel protocols. The role requires a high level of attention to detail, excellent organizational skills, and strong knowledge of international travel regulations and requirements. The specialist must also possess a solid understanding of legal implications related to travel and visa requirements. **Key Responsibilities**:
**Liaising with local partners/authorities**: - Establishing a portfolio of partners specializing in immigration and legal affairs to provide tailored consultancy and ensure organizational backing in the event of unforeseen circumstances.
- Monitoring changes and new regulations related to visa entry requirements and the initiation of new projects in accordance with the necessary prerequisites for commencing business operations in specific countries while ensuring compliance with local permits.
- Ensuring the adherence of all travel arrangements to pertinent laws, at both national and regional level, regulations, and company policies. **Visa Management**: - Manage visa information requests from key stakeholders and employees traveling internationally.
- Ensure compliance with immigration laws and regulations related to employee travel and visas, including liaising with border controls offices
- Advise employees and management on legal requirements and implications of international travel.
- Coordinate with legal counsel on complex visa and travel issues.
- Stay informed on visa requirements, regulations, changes in immigration laws and policies that impact business travel. **Support and Communication**: - Provide pre-travel briefings and assistance to employees, including detailed travel advice related to pre-departure documentation.
- Act as a point of contact for travel-related emergencies or issues. **Business Travel Program Continuous Improvement**: - Evaluate and improve business travel and visa processes for efficiency and effectiveness.
- Implement strategic policies and programs for corporate travel.
- Identify saving and service delivery opportunities.
- Drive continuous improvement of travel programs.
- Coordinate complex cross-functional multinational projects.
- Track performance and compliance by collecting and compiling measurable data monthly and comparing actual results against goals. **What You Need to Be Successful** Qualifications** **and Education**: - High school diploma or equivalent; bachelor’s degree in business administration, Travel and Tourism, Human Resources, Law, or a Corporate Security related field preferred.
- Training in travel and tourism and/or project management is a plus. **Experience**: - Proven experience in managing complex projects.
- Minimum of 3-5 years of experience in corporate travel management or a similar role.
- Experience as a senior business travel agent and/or in a business travel management position is a plus.
- Experience with visa processing and knowledge of international travel regulations.
- Experience with legal compliance and immigration laws related to travel. **Skills and Competencies**: - Strong organizational and time-management skills.
- Excellent communication (oral and written) in Italian and English.
- Detail-oriented with a focus on accuracy.
- Ability to handle multiple tasks and prioritize effectively.
- Proficiency in travel booking software, business travel management, global distribution systems solutions, and Microsoft Office Suite.
- Understanding of legal and compliance aspects related to international travel.
- Knowledge of international travel regulations, customs, and currencies.
