Summary
We are looking for a proactive administrative assistant to provide maternity leave cover and
support the Penta Network Education and Training (NET) Team. The successful candidate
will play a key role in coordinating meetings and training events, both in person and online.
This is an excellent opportunity for an individual with strong administrative, organisational
and communication skills who enjoys working in a collaborative and dynamic environment.
Responsibilities
- Providing logistical and administrative support for training courses, meetings and webinars.
- Coordinate speaker invitations and collect required documentation from presenters and participants.
- Coordinate and assist in meetings or teleconferences, including scheduling meetings, preparing agendas, taking minutes and following up on actions.
- Coordinate online Zoom webinars (including live polling) and review/edit pre- recorded video presentations and/or recorded live Zoom training sessions.
- Provide admin support to the training IT platform and manage requests and registrations received by users of the platform (e.G., resetting passwords).
- Coordinate the Penta ID Network Application process and produce monthly reports for review by the Network Engagement Committee.
- Support data collection on REDCap, for the training course registrations and outcomes reporting.
- Liaising with the communications team to update and align on social media posting and campaigns.
Qualifications
- Previous experience in an administrative or coordinator role.
- Excellent organisational and time-management skills, with the ability to manage multiple tasks simultaneously.
- Experience coordinating meetings, events, or training activities.
- Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
- Experience using virtual meeting platforms such as Zoom.
- Strong attention to detail and accuracy in data entry and record keeping.
- Ability to work independently and as part of a team.
- Strong written and verbal communication skills.
- Fluency in both written and oral English and Italian.

- Maternity Cover
- Duration: six-months contract – starting October 2026 (with the possibility of extension)
- Salary: RAL € 26,000 (Gross Annual Salary to be prorated based on the duration)
- Level: 4 under CCNL Terziario Distribuzione e Servizi - Confcommercio
- Company welfare for six-months contract duration: € 200
- Meal vouchers - one per worked day
- Hybrid working mode, with 3 days a week in the Padova office + 2 days a week remote
