Back Office Specialist

We are looking for a **Back Office Specialist** to join our team in Milan **to ensure smooth and efficient wholesale order management**. This role reports to the Commercial Director and works in close collaboration with the Finance, Logistics, and Product teams. As the **key operational support for the wholesale channel**, you will be responsible for **managing the full lifecycle of wholesale orders**, maintaining accurate customer records, and ensuring timely delivery and invoicing. You will also have the **opportunity to support sales campaigns and contribute to more strategic activities**, including sales data analysis and inventory management. **What you'll do**: - Manage order entry, customer master data, and order follow-up across wholesale accounts.
- Handle the creation and dispatch of outbound delivery notes (DDTs) for the central warehouse.
- Prepare packing lists in compliance with customer-specific requirements.
- Draft proforma invoices and verify issued invoices for accuracy and completeness.
- Support the sales team during campaign periods, helping to coordinate appointments and follow-up with clients.
- Oversee wholesale reorders and contribute to the stock management process.




- Analyze sales data to monitor performance and support strategic decision-making. **What we're looking for**: - 3+ years of experience in a similar back-office or sales operations role, preferably in fashion, retail, or wholesale environments.
- Strong organizational and time management skills with great attention to detail.
- Proficiency in Excel; experience with ERP systems and order management platforms is a plus.
- Collaborative mindset and ability to communicate effectively with multiple teams.
- Proactive attitude and problem-solving approach in a dynamic and fast-paced environment.
