Organizational Setting

The Human Resources Division (CSH) provides HR strategies, policies, tools, guidance and oversight to FAO offices worldwide. The post is located under the Integrated Talent Management cluster, Social Security Branch (CSHS) at FAO headquarters in Rome, Italy.

Main Purpose





The Human Resources Assistant performs a variety of routine functions in support of human resources transactions and assists in providing guidance and advice in the application of policies, rules and procedures.

Key Functions

- Review, answer and follow up on standard requests, enquiries and claims regarding human resources matters.
- Assemble and review supporting documentation for processing various human resources actions related to recruitment, staffing, organizational design, staff development, learning, policy and social security.
- Assist in the recruitment process of all categories of staff and non‑staff, including preparation of vacancy announcements and communication with applicants.
- Assist supervisor(s) in monitoring the contractual status of staff and the timely preparation and issuance of contract renewals and personnel action forms.
- Check and maintain attendance records, leave reports, DSA forms and other documentation for staff and non‑staff.
- Maintain personnel and/or position management files for staff, updating confidential information and ensuring relevant documents are kept in their respective files.
- Search for, retrieve, compile, assemble and archive human resources statistical data from various sources for internal and external use.
- Draft routine correspondence, assist in preparation of administrative reports, briefings and debriefings, and take notes at meetings.
- Perform other duties as required.

Candidate Assessment

- Education: Secondary School Education.
- Experience: Three years of relevant experience in administrative and/or human resources support work.
- Languages: Working knowledge (proficiency level C) of English.
- IT Skills: Good knowledge of MS Office applications, Internet, and office technology equipment.

Technical Skills

- Good knowledge of relevant corporate human resources policies and procedures.
- Good knowledge of corporate computerized administrative systems.
- Good knowledge of communication and documentation standards.
- Ability to handle and document confidential information with care and accuracy.
- Proficiency in drafting, compiling, formatting and maintaining documentation, reports and statistics.

Desirable Qualifications and Skills

- Experience and knowledge of social security with exposure to administration of medical insurance plans.
- Familiarity with corporate ERP systems and HR reporting and data analytics tools.
- Experience in the application of the Staff Regulations, Rules and Administrative Procedures of UN Common System organizations or equivalent large‑scale international organizations.

- FAO does not charge a fee at any stage of the recruitment process (application, interview, processing).
