Primary Role
The Executive Assistant provides comprehensive administrative and organizational support to senior executives, ensuring the effective management of priorities, schedules, communications, and business activities. Acting as a trusted business partner, the role facilitates coordination across stakeholders, supports decision-making processes, and contributes to the smooth operation of the executive office with a high degree of professionalism, discretion, and confidentiality.
Essential Responsibilities
Manage complex calendars, appointments, meetings, and travel arrangements.
Coordinate executive schedules, ensuring effective prioritization of activities and commitments.
Prepare presentations, reports, correspondence, meeting materials, and other business documents.
Organize and coordinate leadership meetings, workshops, offsites, and business events.
Take meeting minutes and monitor follow-up actions to ensure timely completion.
Act as a primary point of contact between executives and internal/external stakeholders.
Manage communications, including emails, phone calls, and requests, ensuring timely responses and appropriate escalation.
Support the preparation of executive communications and presentations for senior leadership audiences.
Coordinate travel logistics, expense reports, invoices, and administrative processes.
Maintain accurate records, files, and confidential documentation.
Facilitate cross-functional collaboration and communication across teams and geographies.
Handle sensitive and confidential information with the highest level of discretion.
Requirements
Bachelor's degree or equivalent professional experience.
Proven experience as an Executive Assistant or similar role supporting senior leaders.
Experience working in multinational and matrix organizations is preferred.
Advanced proficiency in Microsoft Office 365 applications, including Outlook, PowerPoint, Word, Excel, and Teams.
Strong organizational, planning, and multitasking skills.
Excellent verbal and written communication skills.
Ability to manage multiple priorities.
Fluent English; additional languages are considered an asset.
High attention to detail and commitment to accuracy.
Strong interpersonal and stakeholder management capabilities.
Proactive, solution-oriented, and adaptable approach to work.
Ability to handle confidential information with professionalism and integrity.
SALARY INFORMATION
Applied Contract: CCSL Contratto Collettivo Specifico di Lavoro Iveco Group
Grade: 2 Gruppo Competente
Salary range: Euro 38000 – 45000
Variable payment as per CCSL
