**Reports to**:Director of Custom Programs & Custom Programs Manager
**Based in**:Rome or Florence **Requisites**: - Excellent communication skills, written and spoken, in English and Italian. Additional language proficiency in French and/or Spanish is a plus.
- Knowledge of American Higher Education systems and study abroad programs
- Excellent customer service skills
- Knowledge of Microsoft Office and Google Suite, especially Excel and Sheets
- 2 years relevant experience in events management and/or in incoming tourism
- Good vendor/partner management skills
- Flexible, independent and detail oriented
- Ability to prioritize and meet deadlines
- Ability to problem solve
- Ability to manage schedules and logistics
- Bachelor’s Degree
- Available to work evenings and weekends and travel during high season and needed
- Available to serve on a rotation as an emergency point of contact **Responsibilities**: - Assists with program development: drafting budgets, proposals and agreements
- Conducts research on cultural activities, academic content, vendors and logistics
- Assists Custom Programs Manager with logistics and booking management for all programs
- Develops relationships with local vendors and seeks out new partnerships
- Creates and manages yearly housing perspectives
- Updates Booking doc, in coordination with Custom Programs Manager
- Serves as program point of contact (POC) for assigned programs and assures that all program components/tasks are completed according the schedule/timeline
- Assists with program implementation as needed, accompanying groups and faculty on visits, holding orientation sessions and responding to student issues and emergencies
- Creates and sends all custom program invoices, and interfaces with university administrators regarding payment issues
- Completes and tracks all vendor registrations for custom programs
- Tracks payments for custom programs and updates Payments tab on Tracking doc
- Sends weekly updates to FLP team on incoming and late payments
- Tracks and collects all arrival and departure information for custom programs
- Assists with site visit programming logistics
- Assists with administrative tasks as necessary
- Performs accounting and budget reconciliation, according to SAI procedures **Office hours**:Monday to Thursday, 10:00am to 6:30pm, Friday 10:00am to 5:00pm
