I. MAIN PURPOSE OF THE JOBThe position aims to support both the Formalities Department and the Operations & Technical Departments within the extended Ligurian area by acting as a key point of contact for the implementation of current formalities, operational and technical duties. The role ensures the highest service standards through a variety of daily tasks, contributing to the successful fulfilment of clients' requests, the Company's global operations, management directives and overall performance targets.II. DUTIES AND RESPONSIBILITIESUnder the responsibility of Area ManagersII.1 CLIENTS: Focal point for communication with designated vessels at any timePRE-ARRIVALCompletion of all sanitary, immigration formalities and port clearances.Opening protocol number allowing cost allocations.Preparation and anticipation of any services required by clients.Coordination and support for operational and technical requests prior to vessel arrival.ARRIVAL & STAYWelcome vessel on site.Follow-up of all formalities during the yacht's stay.OS data entry of service costs and charges according to the correct protocol number.Support the Operations and Technical Departments by coordinating suppliers, assisting with technical interventions, logistics, deliveries and any operational requirements requested by the client or internal teams.DEPARTURECollect all suppliers' invoices related to the services provided.Transmit the complete file, including all supporting documents,
to the Invoicing Department within a maximum of 7 days after the vessel's departure.Ensure all operational and technical activities have been properly completed and reported before closing the file.II.2 OFFICE: Permanent dutiesCross-check internal compliance tools.Provide administrative and operational support to the Formalities, Operations and Technical Departments as required.The overall content of duties is subject to re-evaluation according to the agency workload.Maintain strict confidentiality of all company and client information at all times.III. QUALIFICATION REQUIREMENTSBilingual in English and Italian (written and spoken).2 or more years of maritime/yachting agency experience.Certificate of higher education.Driving licence B (A licence for 125cc scooter is a plus).Proficiency in Microsoft Office Suite.Proficiency in internal database tools.Onboard experience is a plus.IV. SKILLS AND EXPERIENCEExcellent organizational and time management skills.Excellent interpersonal and communication skills (both verbal and written).Multi-cultural and cross-cultural awareness and experience.Ability to work independently as well as within a team.Customer service and luxury sector experience is a plus.Ability to manage multiple priorities across formalities, operational and technical activities.V.
