Exzellent UG is a German-language learning company building AI-supported tools for learners preparing for telc A1 and A2 exams. We are small, distributed across Europe and Asia, and growing quickly enough that our people operations now need someone who owns them properly rather than someone who picks them up between other tasks.
That is what this role is. It is administrative work, and we are not going to dress it up as something else — but it is administrative work at the point where a company decides what kind of employer it becomes.
Role Overview
You will work directly with the founder and the HR team on the machinery that keeps a remote team functioning: contracts and documentation, onboarding, records, scheduling, and internal communication. Much of it already exists in draft form. Your job is to make it consistent, keep it current, and find the parts that are quietly broken.
We are an AI company, and we expect the people running our operations to work the way we build our product. You should be fluent with AI tools — using them to draft, summarise, cross-check documents, and speed up repetitive admin — and able to judge when their output is wrong. This is not a nice-to-have for us; it is central to how the role is done.
What You'll Do
Own onboarding end to end for new joiners — paperwork, accounts, first-week scheduling, and the follow-up that usually gets forgotten
Prepare and track bilingual contracts, NDAs, and timesheets using our existing templates
Maintain accurate team records: availability, contract dates, working hours, contact details
Coordinate the weekly availability planner and support the 1:1 check-in cycle
Handle day-to-day administrative correspondence in English and German where you are able
Flag gaps in our internal documentation and propose fixes rather than waiting to be asked
Ideal Candidate
Currently studying or recently graduated in HR, business administration, law, psychology, or a related field
Genuinely organised — you keep track of things without being chased
Comfortable with detail-heavy work: dates, names, versions, deadlines
Confident using AI tools (ChatGPT, Claude, or similar) for real work — and able to catch when they get it wrong
Clear written English
Able to work independently across time zones, and to say when something is not working
Nice to Have
German at B1 or above
Experience using AI or low-code tools to automate admin or documentation workflows
Prior exposure to employment documentation or HR processes in an EU context
Familiarity with tools like Slack, Notion, Bitrix24, or similar
Interest in how remote organisations are actually built
What You'll Get
Real ownership of a function, direct access to the founder, and reference-worthy experience in EU HR administration. We will be honest with you about performance at the one-month review, and honest with you about what we can and cannot offer afterwards. We do not promise a paid role at the end of three months, and we would rather tell you that now than imply otherwise.
Practical Details
Location: Remote. Open to candidates across the EU, with a preference for CET-compatible hours. Duration: 3 months, reviewed at 1 month. Hours: Flexible, agreed individually before you start.
