Role Overview
As an Administrative & Order Management Specialist, you will ensure efficient order‑to‑cash processes, acting as the key link between customers, sales, logistics, and finance to maintain high quality service and accurate administrative follow‑up.
Key Responsibilities
- Order Management & Sales Administration: Manage the full order‑to‑cash cycle from order entry to invoicing, validate price conditions and commercial agreements, monitor order status, deliveries, and back‑orders, and ensure timely and correct customer confirmations.
- Customer & Sales Support: Serve as first point of contact for customers on administrative topics, provide proactive updates on order and delivery status, support sales with order follow‑up and issue resolution, and build strong relationships through reliable communication.
- Process Reliability & Continuous Improvement: Ensure consistency, accuracy and compliance in administrative processes, identify opportunities to simplify and improve order management and logistics flows, support ERP transition,



and maintain data quality and reporting reliability.
- Reporting & Financial Follow‑up: Prepare regular reports on sales, orders and back‑orders, monitor outstanding payments with finance, and support accounting with accurate and timely data.

Desired Qualifications
- Proven experience in a similar administrative or order‑management role.
- Solid understanding of invoicing and basic accounting principles.
- Rigorous, organized, reliable and dynamic, able to prioritize and handle multiple tasks simultaneously.
- Excellent communication skills, initiative, teamwork, and ability to listen, ask questions, rephrase, and be diplomatic.
- Fluent written and spoken English (daily contact with colleagues in the Polish plant).
- Good humor, dynamism, commitment, integrity, and focus.
