Job Scope
The team assistant is responsible for managing day-to-day administrative tasks on behalf of the assisted managers by organizing meetings and events, booking and arranging travel/transport/accommodation, dealing with correspondence and phone calls, providing administrative support on clerical work.
Key **Responsibilities**: - Manage travel itineraries for Executive, Manager and the R&D; teams
- Arrange events ( take care of guests, book and prepare meeting rooms, organize Business Lunch, assist during meetings, take care of logistics and all related aspects)
- Monitor office material storage
- Schedule meetings and appointments when required
- Manage clerical works relative to R&D; team and other functions (e.g. Marketing, QA, Clinical, PMO) if necessary (shipment arrangements, invoices and orders upload into system, scientific congress subscription, reports issues, R&D; literature research)
- Support R&D; team in the facility management
- Manage Congress and Course registrations in contact with Administrative Department
- Control and Assist the team to fill the expenses refunds
- Organize the annual medical examinations in Bresso in close contact with the medical room, if necessary
- Manage purchase requests based on the Team’s needs Education, Experience, and Qualifications
Bachelor degree
**Experience**:
Minimum of 5+ years of experience as an Executive Assistant reporting directly to Senior Management
