Executive Assistant Operations Manager | Right Hand to Leadership We are looking for a highly proactive and resilient Executive Operations Manager to work closely with our leadership team and help keep a fast-moving international business running smoothly.
This is not a traditional administrative role. We are looking for someone who takes ownership, anticipates problems before they arise, makes decisions independently, and is comfortable operating in an environment where priorities can change quickly. You will act as a key point of coordination between leadership, internal teams, and external partners, while also supporting complex travel, logistics, projects, and day-to-day business operations.
This role is ideal for someone who enjoys being at the center of a dynamic business and wants significantly more responsibility than a standard Executive Assistant position. Important requirements:
You must have a permanent right to work in Italy (Italian citizenship or a long-term EU residence permit).
You must be comfortable with frequent international travel, including extended trips lasting several weeks when required.
Fluency in both Italian and English is mandatory. Key Responsibilities
Act as a trusted operational partner to the leadership team and take ownership of day-to-day priorities
Manage complex executive calendars, meetings, travel, and changing schedules
Coordinate communication and follow-ups across internal teams and external partners
Anticipate potential issues and independently find practical solutions
Organize international business travel, logistics, events, and extended work trips
Prepare documents, reports, presentations, and meeting materials
Track action items and ensure deadlines and commitments are followed through
Support cross-functional operational projects and process improvements
Handle confidential and sensitive information with a high level of discretion
Respond effectively to unexpected situations and rapidly changing priorities What We’re Looking For

Previous experience as an Executive Assistant, Executive Operations Manager, Business Assistant, Operations Coordinator, Project Coordinator, or in a similar role
Experience in a fast-paced international environment is highly valued
Fluency in Italian and English, both written and spoken
Permanent right to work in Italy
Availability for frequent and sometimes extended international travel
