Moda Lab is looking for a highly organized, proactive and client-facing Operations & Client Manager to coordinate day-to-day business operations, client projects and internal teams.

This is not a traditional assistant role. We are looking for someone who can take ownership, create structure, anticipate problems and confidently guide both clients and team members.

Key Responsibilities

Manage multiple client projects, priorities, deadlines and follow-ups

Lead operational client meetings and clearly define next steps, responsibilities and timelines

Coordinate internal team members, freelancers and external suppliers

Maintain project management systems organized and up to date

Identify delays, risks and operational issues before they become problems

Follow up independently to ensure deliverables are completed on time

Manage basic administrative activities, documentation, invoices and supplier coordination

Prepare agendas, meeting notes, action plans and project updates

Manage client expectations and confidently handle additional or out-of-scope requests

Support the CEO by bringing forward solutions, not just problems

What We Are Looking For

Minimum 4+ years of experience in operations, project management, account management or a similar role

Strong experience managing clients directly

Excellent organizational and prioritization skills

Confident, assertive and comfortable leading meetings

Ability to manage several projects simultaneously without losing control of details

Strong sense of ownership and accountability

Comfortable working independently and making operational decisions





Experience with project management tools such as ClickUp, Asana, Monday or similar

Good understanding of basic business administration and invoicing processes

Experience in fashion, creative agencies, consulting, e-commerce or consumer brands is highly valued

Languages — Mandatory

Candidates must be professionally fluent in:

English

Spanish

Italian The role requires regular written and verbal communication in all three languages.

The Right Person

You are someone who naturally creates order.

You don't wait to be told every next step. You understand the objective, organize the process, follow up with the right people and make sure things move forward.

You are comfortable telling a client what is realistic, pushing a team member for a deadline, identifying when something is going off track and escalating only when a strategic decision is genuinely required.

You should be able to take a project after a CEO-level decision and drive it forward independently from planning to completion.
