Finance & Operations Admin

Location: Italy – Remote
Employment: Full-time
Salary: €1,200–€1,600 gross/month, depending on experience

About the role
We are looking for a Finance & Operations Admin to support the day-to-day administrative and financial processes of our growing European e-commerce and logistics business.
Our company operates across several European markets, working with suppliers, warehouses, logistics partners and international e-commerce clients.
This is a practical, hands-on role for someone with initial experience in accounting administration who wants to develop broader exposure to finance, purchasing, logistics and business operations.
You will work closely with our Buyers, Warehouse teams, management and external accountants, helping ensure that purchases, invoices, payments and supporting documentation are correctly processed and organized.

What you will do
Your main responsibilities will include:
Checking and processing supplier invoices and supporting documentation.
Comparing supplier invoices with purchase orders and quantities received.




Identifying discrepancies in prices, quantities or documentation and following up with the relevant team.
Supporting supplier payment control and bank reconciliation.
Issuing and managing customer invoices and credit notes.
Keeping supplier and customer documentation organized and up to date.
Monitoring missing invoices and other outstanding administrative documents.
Preparing documentation and information required by our external accountants.
Supporting VAT and monthly accounting procedures by ensuring that the necessary information is complete and properly organized.
Maintaining accurate information across our operational and accounting systems.
Supporting administrative activities across our Italian and Portuguese operations.
As our internal technology develops, you will also work with our proprietary ERP and help ensure that operational information flows correctly into our accounting systems.
