Technical Documentation Contractor - Global Payroll Program

Position Summary:

The Global Payroll Program is seeking a temporary contractor to support technical documentation efforts across the program's payroll deployments, which run on CloudPay as the payroll platform integrated with Workday HCM. This role has two primary areas of focus: documenting upcoming requirements for Italy payroll, and documenting the support model and operational processes for all countries that have already gone live.

Key Responsibilities

Italy Requirements Documentation

- The contractor will work with regional payroll stakeholders, HR, and CloudPay implementation teams to support efforts to gather and document detailed functional and technical requirements for the Italy payroll build, covering statutory reporting, tax and social contribution rules, works council/union requirements, and benefits integration. This includes mapping Workday-to-CloudPay data flows and integration points (employee master data, pay elements, retro pay, garnishments, etc.) specific to Italy, and documenting CloudPay configuration requirements, gross-to-net rules, and any custom logic needed to meet Italian statutory requirements. The contractor will translate business and legal requirements into structured documentation usable by the implementation and QA teams, and will flag gaps, dependencies, or open questions that need resolution before go-live.

- Support Model & Process Documentation (All Deployed Countries) The contractor will document the current support model, escalation paths, and operational processes for every country already live on CloudPay, including tier 1/tier 2/tier 3 support structures and ownership across internal teams and the CloudPay vendor relationship.



This covers standard operating procedures for recurring payroll activities (cycle processing, off-cycle runs, year-end, statutory filings) as they run through the Workday-to-CloudPay integration, the Workday-CloudPay interface process itself (file transmission schedule, error handling, reconciliation steps), known issues, workarounds, and country-specific configuration nuances within CloudPay, and roles and responsibilities across internal teams, CloudPay, and any other outsourced partners. The goal is a consistent, audit-ready set of documentation that can be used for onboarding, knowledge transfer, and business continuity.

Deliverables:

- The expected deliverables include a requirements documentation package for Italy payroll (covering both CloudPay configuration and Workday integration touchpoints), country-specific support model and process guides for all currently deployed countries on CloudPay, a documented Workday-to-CloudPay interface/integration process, and a standardized documentation template/format to be used consistently across countries going forward.

Qualifications:

- Candidates should have hands-on experience with CloudPay and Workday HCM, ideally in a payroll operations, implementation, or integration support capacity, along with strong technical writing skills and the ability to translate complex payroll and system processes into clear documentation. Experience with global or multi-country payroll (EMEA experience, particularly Italy, is a plus) is preferred, along with familiarity with Workday-to-third-party-payroll integration patterns and vendor support models, and the ability to work independently and interview subject matter experts across regions and time zones.
