Role Overview

The Intake Specialist serves as the first point of contact for potential clients and plays a critical role in shaping their first impression of the firm. This role requires a blend of salesmanship, empathy, attention to detail, and professionalism to effectively evaluate potential cases, provide exceptional client service, and ensure a seamless transition into the firm’s legal process.

Responsibilities

Initial Contact & Client Engagement

Establish immediate, professional, and empathetic rapport with potential clients to foster trust and engagement.
The client experience is everything. Listen actively, empathize, communicate clearly, and meet client needs proactively.
Thoroughly screen intake calls to assess the viability of potential cases and identify client needs.
Promptly respond to all inquiries received via phone, email, website, and referrals during work hours.

Case Evaluation & Coordination

Collaborate closely with the Intake Attorney to determine case viability and discuss next steps.




Accurately transfer intake information from the Slack channel to Lead Docket, ensuring completeness and clarity.
Schedule initial consultations or appointments for qualified leads with a sense of urgency.
Assist in the client transition process to the assigned case manager, ensuring continuity of care.

System Management & Data Integrity

Maintain timely and accurate updates in Filevine, Lead Docket, and other relevant platforms.
Vigilantly monitor all our channels and platforms to immediately identify and respond to issues as they arise.
Open new client folders in Dropbox and Filevine, recording all necessary information, lead details, and source attribution.
Monitor, track, and resolve invalid leads daily across all marketing company portals and updating the necessary google docs.

Follow-Up & Tracking

Maintain detailed case tracking logs and schedule follow-up calls as needed to move cases forward.
