Position: Site Administrator
We are seeking a Site Administrator to join our expanding team in Milan, Italy.
The Site Administrator will provide administrative and project support to the Project Director and site team. This role requires strong organisational, communication, and project coordination skills to ensure the team remains focused on project priorities while operational tasks are managed efficiently.
The Site Administrator will act as a key liaison between the Project Director, project teams, and external partners, ensuring seamless communication and execution of project‑related activities.
Requirements

- Act as the key point of contact for new joiners; work with HR and the site team to ensure a positive onboarding experience.
- Collaborate with the Head Office Travel Team to coordinate local accommodation and car arrangements.
- Manage calendars, schedule meetings, and coordinate travel logistics as required.
- Monitor and prioritise incoming communications, ensuring all correspondence reaches the relevant people involved in the project.
- Organise and facilitate meetings, workshops, and site visits.
- Maintain filing systems and support document management.
- Handle logistics for site events as needed.
- Assist in preparing correspondence, presentations, and briefing materials.
- Ensure all documentation complies with our Integrated Management System.
- Handle confidential information with discretion and professionalism.
Skills & Qualifications

- Typically 5+ years of relevant experience, preferably in a similar site‑based role.
- Must be based locally and have Italian as first language with a good level of verbal and written English.
- Excellent organisational and interpersonal skills.
- High level of IT skills, particularly in Microsoft Office Suite.
- Experience with knowledge sharing applications is advantageous.
