JOB TITLE: Field Project Coordinator TYPE OF CONTRACT: Consultant (Level I)

BACKGROUND AND PURPOSE OF THE ASSIGNMENT:
Under the general supervision of the Chief TECM and the Head of IT Support Services with the direct supervision and technical guidance of the Service Management Tools team lead, the incumbent will be responsible for liaising with COs and RBs EasyVista focal points to capture and analyze EasyVista requirements, as well as ensuring that the new features respond to the delivery strategy and test that the system functionalities support effectively both IT and Digital Assistance Services operations in the field. The incumbent will also facilitate collaboration between HQ Project teams and the stakeholders in the field by building and leveraging the EasyVista global network in order to strengthen the GSMT focal points' presence in the field and related coordination
ACCOUNTABILITIES/RESPONSIBILITIES
- Contribute to build an effective communication strategy by producing communication material according to TEC's communication strategy and by actively maintain a professional network across
Country Offices and Regional Bureaus to engage WFP staff from different operational (IT, DAS, and other business functions) and geographical areas for the implementation of the Tool
- Capture and analyse business operational requirements from Country Offices and Regional Bureaus and collaborate with project stakeholders in leveraging the GSMT to streamline processes for operational needs;
- Engage and coordinate the implementation activities for the adoption of the tool by new business units;
- Identify and flag issues needing resolution to the relevant technical focal points;
- Pull out and analyse tickets data to identify trends in the demand of services;
- Engage with service designers and act as a bridge between HQ and COs/RBs to define the model for the collection of field requirements and the process for IT services validation and testing of the solution;
- Contribute to the implementation of the ServiceNow ITSM module by ensuring timely completion of assigned tasks, appropriate escalation and proper maintenance of project documentation
- Manage and coordinate demand intake related to ServiceNow ITSM, including new features,
improvements, and service requests.
- Contribute in activities related to knowledge transfer and knowledge management, including providing necessary support to, and engaging in, global TEC’s Knowledge Management activities &
projects;
- Coordinating Product Management activities for the Global Service Management tool EasyVista
- Follow and coordinate all activities related to the product’s adoption, including guiding material for end-users, communication around the project, coordination of activities for the Product management team.
- Update and maintain knowledge bases of the product, solutions and processes managed by the product support and adoption team, taking part to initiatives related to KM in the branch and in the division, while contributing to the KM action plan supported by TEC.
- Collaborate with cross-functional teams and liaise with implementation partners to address the business needs in alignment with the latest and improved service management practices.
- Prepare and update documentation, reports and presentations.
- Other duties as required, including field missions.
DELIVERABLES AT THE END OF THE CONTRACT:
- Keep track of GSMT project activities, by developing a project plan to monitor progresses;
- Contribute to the global standardization of the tool in line with best practices and governance frameworks;
- Liaise with WFP business units and country office and regional bureau stakeholders for the implementation of the tool;
- Leverage the tool functionalities and improve governance to support field operations;
- Create and maintain comprehensive project documentation and support stakeholders in keeping up to date project report.
QUALIFICATIONS & EXPERIENCE REQUIRED:
Education: University Degree in Economics, International Relations, Business Administration or
Computer Science.
Experience: • 4+ years of experience in operations or similar environments collaborating with business users, preferably in large international organizations’
- Understanding of IT concepts.
Knowledge
& Skills:
- Good communication and interpersonal skills;
- Experience in data visualization techniques and tools;
- Good organizational skills and high level of attention to detail;
- Business & IT strategy experience;
- Basic knowledge of IT including experience of using Microsoft Windows, Office
Applications and Databases;
- Experience across Best Practice Methodologies such as ITIL would be an asset;
- Must be able to work in a diverse team, is collaborative with a good customer service focus and able to execute tasks in a high-pressure environment is crucial
Languages: Fluency in oral and written English is essential. Intermediate knowledge of another official UN language (Arabic, Chinese, French, Russian and Spanish) or Portuguese
(one of WFP’s working languages) is desirable
