The Role
We are looking for a junior resource to join the Customer Engagement & Management team, reporting to the Customer Engagement & Management Executive of the West Hub.
The role oversees administrative activities related to the active and passive billing cycle and supports the team on operational tasks with direct customer contact.
This is a cross-functional role with scope extended to the three Hub countries: the resource will be primarily based in Italy but will operate in constant interaction with colleagues in Croatia and Greece and with corporate functions.
Key Responsibilities
Active Billing
- Verification of the correct issuance of B2C and B2B invoices, with consistency checks against contracts, applied tariffs, and charging sessions.
- Verification of invoices related to roaming partners.
- Management of billing requests addressed to landlords, with oversight of timelines and responses.
- Preparation of credit notes and adjustments to support the resolution of identified anomalies.
Passive Billing
- Entry of relevant invoices into the system, with verification of supporting documentation.
- Consistency checks against contracts, purchase orders, and agreed conditions.
- Identification and management of discrepancies, with follow-up with internal stakeholders and suppliers.
- Monitoring of approval workflows and the progress status of ongoing cases.
- Collaboration with the Finance and Treasury teams in support of monitoring and reconciliation activities.
Operational Support
- Management of charging card and wallbox orders requested by customers, from request collection through to delivery confirmation.
- Coordination with the Logistics team and external suppliers to verify availability, track shipment progress, and resolve critical issues.
- Customer updates on order status and oversight of related administrative documentation.
Involvement in Optimization Projects
- Support for the mapping and standardization of administrative procedures across Hub countries.
- Identification and reporting of repetitive activities that may be suitable for centralization or automation.
Requirements
- Education: Diploma in accounting or equivalent qualification.
- Experience: 0–2 years in administration, active/passive billing cycle, back office, or customer operations. Previous curricular internships are also taken into consideration.
- Languages: Italian, fluent English .
Technical Skills:
- Billing fundamentals: VAT, invoice numbering, credit notes, payment terms.
- Proficient use of Excel.
- Soft Skills:
- Precision and methodical approach
