Calendar & time management
Own and defend the calendars of four executives with competing priorities; make trade‑off calls on what gets scheduled, moved, or declined
protect focus time and prep windows
Coordinate across time zones for international meetings, investor calls, and cross‑market work
Plan and book complex multi‑leg travel across Europe and the US — flights, hotels, ground transport, visas where needed
Manage expense reporting and reconciliation for all four executives
Coordinate board meetings, investor updates, and leadership offsites end to end
Draft, screen, and prioritize correspondence; Operations & projects
Handle confidential documents, contracts,
and sensitive information with total discretion
3+ years supporting C‑level executives, ideally in a high‑growth startup, VC/PE, or consulting environment
~ Fluent English and Italian, written and spoken
~ Exceptional organization and attention to detail; Comfort with ambiguity — you’re a problem solver that can make indipendent calls
~ Proficiency with Google Workspace, AI tools, Notion and Slack
~ Exposure to international, multi‑market operations
~ Based in or able to relocate to Milan
