Your Key Responsibilities
You’ll be the operational backbone for the CEO, CTO, CRO, and Sales Director — keeping their time, priorities, and commitments moving without friction. This is a high-trust, high-context role at a company scaling fast across Italy, Germany, and Spain, with frequent travel across Europe and the US. You will see everything and be trusted with everything.
Calendar & time management
- Own and defend the calendars of four executives with competing priorities; make trade-off calls on what gets scheduled, moved, or declined
- Resolve conflicts proactively before they surface; protect focus time and prep windows
- Coordinate across time zones for international meetings, investor calls, and cross-market work
Travel & logistics
- Plan and book complex multi-leg travel across Europe and the US — flights, hotels, ground transport, visas where needed
- Build detailed itineraries; anticipate disruptions and hold contingency options
- Manage expense reporting and reconciliation for all four executives
Meetings & communications
- Prepare agendas, briefing notes, and pre-reads; capture actions and drive follow-up to closure
- Coordinate board meetings, investor updates, and leadership offsites end to end
- Draft, screen, and prioritize correspondence; act as a filter and first point of contact
Operations & projects
- Coordinate cross-functional initiatives on behalf of the executives, tracking deliverables and unblocking bottlenecks
- Organize internal and external events (team gatherings, investor visits, client dinners)
- Handle confidential documents, contracts, and sensitive information with total discretion
What We’re Looking For
- 3+ years supporting C-level executives, ideally in a high-growth startup, VC/PE, or consulting environment
- Fluent English and Italian, written and spoken
- Proven ability to manage multiple senior stakeholders and make independent prioritization decision
- Exceptional organization and attention to detail; sound judgment under pressure; complete discretion
- Comfort with ambiguity — you’re a problem solver that can make indipendent calls
- Proficiency with Google Workspace, AI tools, Notion and Slack
- Exposure to international, multi-market operations
- Based in or able to relocate to Milan
