About the Role We are looking for an HR Administration Specialist to join our Milan team and support the day-to-day administrative management of our people. In this role, you’ll be responsible for the full employee administrative lifecycle — from onboarding to offboarding — while ensuring accuracy, compliance, and a smooth experience for everyone involved. Location: Milan, Italy (Full-time, in-office/hybrid) Contract Type: Permanent Employment Salary Range: €25.000 What You’ll Do: Own personnel administration end-to-end — you’ll be expected to manage the full employee lifecycle independently, from hiring paperwork through to terminations, keeping everything accurate and on time Stay on top of contractual deadlines — proactively track key dates and prepare the required documentation before it becomes urgent Handle sensitive employee situations with care — support cases involving sick leave, workplace injuries, maternity leave, and other absences, always with discretion Be the quality-control layer — review and verify administrative documentation so nothing slips through with errors or gaps Understand payroll,
not just process it — you’re expected to read and interpret payslips prepared by the payroll consultant, and to catch and resolve discrepancies yourself before escalating Be the go-to liaison — act as the main point of contact with the payroll consultant and external bodies, representing the company professionally on compliance matters Apply labor law knowledge in practice — support correct application of relevant regulations and collective bargaining agreements (CCNL) in day-to-day decisions Keep records audit-ready — maintain HR documentation and archives so they’re always accurate and easy to retrieve Help drive system improvements — contribute to the implementation and rollout of new HRIS systems, including data checks, testing, and adoption support What We’re Looking For ~0–2 years of experience in HR Administration or Personnel Administration ~ A degree in Human Resources, Labor Consulting, Law, or a related field is required ~ Good ability to read and interpret payslips ~ Knowledge of the main contract types and their associated deadlines ~ Familiarity with administrative procedures related to sick leave, workplace injuries, maternity leave, and other absences ~ Comfortable using HRIS systems and digital HR tools; exposure to HR systems is a plus ~ Preferably knowledge of the CCNL for Professional Studios and/or the CCNL for Commerce ~ Good command of Microsoft Office, particularly Excel ~ Precision, discretion, organization, and the ability to manage competing priorities ~ Fluency in Italian (essential) and a good working level of English What We Offer Permanent, full-time employment (tempo indeterminato) A structured career path with clear milestones to support your growth from day one Continuous training and mentorship from experienced HR leaders Modern office located in Milan Milanofiori (South Milan) Meal allowance (Indennità pasto, €8 net per working day) Medical Insurance coverage
