Front Office Supervisor

Department: General Surgery Practice

Reports To: Practice Manager / Office Administrator

FLSA Status: Non-Exempt

Location: Boulder, Colorado

Position Summary

The Front Office Supervisor oversees all front desk operations for a busy general surgery practice in Boulder, Colorado. This role ensures excellent patient service, efficient scheduling, and administrative accuracy. The ideal candidate is bilingual (English/Spanish), experienced in surgical scheduling, and highly skilled in managing accurate provider schedules. Familiarity with Athenahealth is preferred.

Key Responsibilities

Supervise and support front desk team in daily operations including patient check- in/check-out, appointment scheduling, and phone triage
Ensure provider schedules are accurate and up to date, including adjustments for surgeries, time off, and overbooking policies
Coordinate surgical scheduling, including pre-operative testing, imaging, authorizations, and post-operative follow-up




Train and coach front desk staff on proper use of practice workflows and policies
Verify insurance eligibility, obtain referrals and prior authorizations, and support patients in understanding coverage
Oversee collection and posting of co-pays and balances; ensure accuracy in financial transactions
Serve as the first point of contact for patient concerns or service recovery
Monitor and report on front office performance metrics, including schedule utilization and no-show rates
Collaborate with clinical, billing, and administrative staff to ensure smooth operations and patient satisfaction
Maintain HIPAA compliance and enforce all office protocols
Coordinate front desk staff scheduling and ensure adequate coverage at all times

Qualifications

Education & Experience:

High school diploma or equivalent required; associates or bachelors degree preferred
Minimum of 3 years of medical office experience, with at least 1 year in a supervisory or team
