Job Title: HR Administrator
Department: Human Resources
Reporting to: Senior Manager, HR Operations / HR Director SC & EMEA Retail
Role Purpose:
To provide professional and proactive HR administrative support across the EMEA HR function for JC Supply Chain HQ, JC Switzerland, CFI, Sicla, Milan Showroom and Retail, for Italy and Switzerland.
Main Responsabilities
- Manages monthly and quarterly auditing ensuring consistency, compliance and governance
- Provides the reporting and analysis (MK and JC Discount reporting)
- Tracks Sickness and absence for the business providing reporting when necessary
- Team KPI monitoring and reporting on workday help
- Manages Egencia Queries
- Supports with data entry to support budget administration and also ad hoc administration for systems and annual reporting like Gender Pay Gap
- Complete all HR administration as directed by Senior Manager HR Ops
- Make sure trackers are up to date and changes reflective in workday
- Manages the job postings across the relevant sites
- Responsibility of ensuring global trackers and org charts are updated
- Responsible for the creation, maintenance and archiving of employee files
- Coordinates timesheet checks for all Retail, Supply Chain and Factories employees on a monthly basis
- Provides the HR team with key reports
- Ensure workday help queries are managed, and queries are responded to in line with the current SLAs
- Ensure filing system is maintained
- Maintain regular liaison with payroll providers and external labour consultants to ensure the accuracy and timeliness of payroll inputs, processing, and related employee data flows.
- Manage all employee leave administration, including maternity leave, parental leave, statutory leave, disability leave, and other legally required absences,
ensuring compliance with local regulations.
- Ensure the continuous and accurate maintenance of employee records in Workday, including personal, employment, organizational, and compensation data.
- Monitor and ensure adherence to deadlines for all HR processes and company procedures, including annual compensation review cycles, merit increase processes, and performance review activities.
- Ensure Workday records and employee communications are aligned with legislative and regulatory updates, supporting the implementation of changes required by local employment laws and company policies.
- Partner with internal stakeholders to guarantee data accuracy and compliance across all employee lifecycle processes.
Experience Required:
- Graduate calibre
- Preferably working towards CIPD accreditation
- Previous experience in an administrative role is essential
- Highly competent user of MS Office packages, particularly Word, Excel, Outlook and PowerPoint
- Strong organisational skills with the ability to multi-task and prioritise
- The ability to work well under pressure and to meet deadlines within a fast-paced environment
- Take ownership of tasks and takes pride in completing them accurately and efficiently
- Fluent English, both written and spoken.
- Knowledge of Italian Collective Labour Agreements (CCNL), particularly the Commerce & Services (Commercio)
and Footwear Industry (Calzaturiero) sectors.
- Basic knowledge of Italian Labour Law and employment regulations.
- Experience working with HRIS systems, preferably Workday.
- Strong understanding of HR administration processes and data management.
- Ability to work effectively with external payroll providers and labour consultants.
- Excellent attention to detail and a high level of accuracy when handling employee and payroll-related information.

- Confident team player with the ability to work autonomously
