Job Description: Bid Manager

Position Overview: The Bid Manager is responsible for the entire bid project life cycle, for unsolicited, RFP/RFQ as well as RFI procedures, as assigned; he/she has an active, key responsibility to lead the overall Bid Team, managing challenging solutions, requirements and timelines, driving Best Practices and ensuring timely, accurate and high-quality customer deliverables are provided. The Bid Manager is responsible for the end-to-end Bid/Proposal activities, including virtual team management, bid requirements analysis/elicitation, tender documentation analysis, bid qualification, bid planning and execution, team updates and communication, proposal management, communication to internal/customer teams, activities on customer portals, administrative and technical documentation, ensuring compliant, high-quality, timely and accurate deliverables are provided.

Key Responsibilities:

Proposal Management activity

1. Responsible for timely delivery of all allocated proposal projects ensuring the highest quality of customer deliverables;

2. Manage the proposal project, working closely with the Bid team/Account Manager;

3. Produce & manage the proposal project plan (including risk analysis & contingency planning), ensuring that all necessary activities are completed on time;

4. For assigned projects, co-ordinate and manage the activities of other proposal centre staff as required to be involved in the proposal;

5. Ensure a consistent and clear storytelling in the overall proposal document by reviewing and providing critique to the content produced by contributors and Proposal Writers;

6. Lead proposal reviews by providing objectives to teams and developing clear action plans.

7. Manage regular Red Team reviews to ensure expected quality for the proposal.

Bid Management activity

1. Validates the qualification of opportunities and monitors qualification status at all stages during the bid process.

2. Performs Tender analysis, recap, identifying and exposing to Management and Bid Team all tender Terms & Conditions, scope, risks, procedures, timelines and accurately informing the team about key specifications and requirements needed for qualification.

Analyses and understands the customer's detailed requirements in order to develop the optimum win strategy and associated appropriate level of response in order to successfully bid and win each contract.

4. Develops the overall bid project plan and builds and manages the virtual Bid Team to achieve the bid deliverables in an effective and efficient manner. This includes leading the process of identifying potential subcontractors or partners and selecting / negotiating / contracting with such parties under the guidance of senior regional / commercial management.

5. Owns and reviews the overall response to customer, assessing the risk to delivering a successful bid project, and ensuring that these are addressed appropriately under the guidance of senior regional / commercial management.

6. Supports the Sales team with the pre-contract stage with the Customer, including the setting up of appropriate commercial partnership agreements and underpinning contracts to support contract deliverables whilst ensuring that the relevant internal expertise is involved in the closure of commercial, financial and legal issues with the customer.

7. Helps obtains solution approvals (financial, technical etc) and ensures the proposed solution is carried out in accordance with the appropriate corporate guidelines.

8. Communicates progress regularly and clearly to the relevant Senior management team and bid stakeholders, ensuring that major issues are escalated and addressed. Ensures that all relevant bid processes are followed as required (e.g. sales qualification, bid assessment & preparation, business approvals), and lead meetings as required;

9. Facilitates the proposal strategy meeting with the account manager/bid team and other key proposal contributors to 'storyboard' proposal content based on customer & competitive analysis;

10. Facilitate Pre-Proposal planning meetings with the Account Manager/Bid team to ensure that appropriate steps are taken to maximise the proposal chance of success;

Coach the bid presentation team if required (slide development, logistics, rehearsals etc.);

For bids won, ensures thorough follow through with contract negotiation and handover to Project Delivery, including plans to ensure a smooth transition from the bid team to the delivery and implementation team upon contract award, through comprehensive and clear documentation of all aspects of the solution and scope.

Minimum Qualifications and Skills:

1. Bachelor degree in a numerate, business or languages discipline or significant relevant experience;

2. Ideally holding at least Foundation Level APMP (Association of Proposal Management Professionals) accreditation and/or equivalent formal training in Proposal or Bid Management;

3. Minimum 5 years of experience within commercial industry, ideally IT, telecoms, air transport or managed services provision as Bid Manager or equivalent role;

4. Minimum of 2 years of experience within the field of bids & proposals - in purchasing and/or sales - including exposure to the vendor side.

- Must have real Proposal Management, Bid Management experience.
- Experience in aviation industry or IT is a plus.
- Hands-on experience and verifiable experience in complex bids & proposals - in purchasing and/or sales - including exposure to the vendor side.
- Relevant understanding of the airport and/or airline operation is an advantage.
- Experience in developing successful relationships at Senior Manager level.
- Experience in managing teams and meeting tight deadlines.
- Preferably having worked in a multinational company
- Ability to coordinate multiple projects and initiatives concurrently
- Strong project and people management skills to establish credibility internally necessary for managing cross-functional and cross-Business Unit Bid Teams.
- Clear understanding of proposal management processes including pre-proposal planning, strategy development and storyboarding, strategic proposal writing skills.
- Knowledgeable on MS Office tools (Excel, PowerPoint, Word etc)
- Willingness to work in a dynamic, cross-functional and cross-culture team environment.

Retribuzione: €35.000,00 - €45.000,00 all'anno
