About the role We are looking for an Office, Travel & Facility Specialist to manage business travel and support the day-to-day organization of our offices. The role will be a key point of contact for employees, suppliers and external partners, ensuring smooth operations, efficient processes and a high-quality internal service.
What you will do Travel Management Coordinate business travel in Italy and abroad, including flights, trains, hotels, rental cars and transfers. Support employees with travel planning, bookings, changes and unexpected issues. Ensure compliance with company travel policies and approval processes.
Coordinate with travel agencies, hotels and other external providers. Monitor travel costs and identify opportunities to improve efficiency. Office & Facility Management Manage the day-to-day organization of Energy Dome offices.
Coordinate office supplies, meeting rooms, parking, access, couriers and general services. Coordinate maintenance activities and relationships with property managers and suppliers.
Support internal meetings, company events and visits from clients and partners.
Ensure office services and spaces are well organized and running smoothly. Processes & Improvement Maintain documentation related to travel, suppliers and office activities. Help develop and improve internal travel, office and facility procedures.
Identify opportunities to simplify processes and optimize costs. Collaborate with HR, Finance, HSE and other teams.
What we are looking for ~2+ years of experience in office management, travel management, facility coordination, hospitality, executive support or similar roles. ~ Strong organizational and problem-solving skills. ~ Ability to manage multiple priorities in a fast-paced environment. ~ Strong attention to detail and a proactive, service-oriented approach. ~ Good communication skills and confidence in dealing with employees and external suppliers. ~ Good knowledge of Microsoft Office 365. ~ Fluent Italian and English. ~ Experience in international or fast-growing companies is a plus.
What we offer ~€30,000 – €40,000 gross annual salary, depending on experience, + individual bonus, welfare, ticket restaurants ~1 day of lavoro da remoto per week. ~ An international and fast-growing working environment. ~ The opportunity to take ownership and contribute to building and improving Energy Dome’s office, travel and facility processes.
