Bvlgari, within its Leather Goods & Accessories Business Unit based in Florence , is looking for an Executive Assistant to the Managing Director to provide high-quality executive, administrative and organizational support, ensuring the smooth and efficient management of day-to-day activities and office operations.
The role acts as a trusted point of coordination for Managing Director’s agenda, communications, meetings, travel, documentation and information flows, ensuring accuracy, confidentiality, timely follow-up and a high standard of executive support across global and cross-functional interactions.
Provide comprehensive secretarial and administrative support, including database updates, coordination with the Business Unit, support to department colleagues, and assistance with specific project;
Handle and distribute confidential materials with the highest level of discretion, ensuring controlled access, accurate filing and appropriate treatment of sensitive information;
Ensure the coordination of all activities and communication with the Business Unit and with other departments;
Liaise with LVMH relevant departments to ensure a smooth flow of data and information;
Keep and manage diaries, with a high level of autonomy and priority setting, liaising with other departments to set routine and on-request meetings;
Arrange meetings, creating agenda proposals, preparing support presentations, booking rooms and conference facilities and supervising all organizational aspects;
Liaise with and provide assistance to department colleagues on specific special projects;
Organize business travel in coordination with colleagues, Group functions and external agencies, including finalizing schedules, collecting relevant support documents, selecting and reserving flights,
and ensuring hotel bookings;
Manage telephone and email enquiries with professionalism and discretion, ensuring appropriate feedback, follow-up and escalation when needed;
Manage travel requests and expense reports through the appropriate systems, ensuring timely processing, cost monitoring and compliance with applicable travel and expense policies.
Provide organizational and administrative support to the Creative Director, including agenda management, travel arrangements and expense management;
Coordinate the organization of Product & Collection Meetings, ensuring effective planning, preparation and smooth execution.
Bachelor’s degree in Business Administration, Economics, Management, Languages, Communication, or a related field.
~3-5 years of experience as an Executive Assistant or in a similar role, preferably supporting senior executives in an international and dynamic environment.
~ Travel Management & expense management system - e.g. SAP Concur.
~ Advanced IT Applications / Microsoft 365 — Outlook, PowerPoint, Excel, Word, Teams, SharePoint.
~ Fluency in both Italian and English, written and spoken.
~ High level of discretion, trustworthiness and confidentiality.
~ Excellent communication skills, with tact, diplomacy and professional presence.
~ Flexibility, adaptability and ability to manage multiple priorities in a dynamic executive environment.
For new joiners in this role in Italy, the initial annual gross salary is EUR 35.000.
Actual compensation may vary depending on factors such as your unique combination of experience and skills, seniority, and current organizational needs.
