ISG Personalmanagement GmbH ISG is a consulting company and seeks for a client - an international manufacturing and distribution company in the field of medical devices - Operations and Tender Manager to join their team in Ancona. This position combines office management, tender oversight, warehouse management, process optimization, and team leadership. Key Responsibilities - Manage and optimize daily office workflows, internal processes, and operational KPIs - Lead and support the local team in logistics, orders, invoicing, warehouse management, accounts, and IT support - Supervise and support public tender processes for hospitals and healthcare institutions in Italy - Advise on complex procurement procedures, compliance topics, and administrative requirements - Ensure compliance with Italian healthcare regulations and public procurement law - Ensure smooth order processing, invoicing, claims handling, stock control, and consignment inventory management - Act as the interface between local operation, sales, logistics, and the international headquarters - Manage vendors, office facilities, fleet contracts, and operational costs - Coordinate medical congresses and corporate events Requirements - At least 5 years of experience in operations, office management, or senior administrative leadership - Experience in the area of medical device, healthcare,
or pharmaceutical industry - Strong experience with Italian public tenders, hospital procurement procedures, and tender platforms - Experience in invoicing, claims management, warehouse management, and administrative workflows - Familiarity with ERP systems, order entry workflows, and consignment inventory logic - Proven leadership experience with small to medium-sized teams - Fluent Italian and English knowledge are mandatory - Structured, pragmatic, and detail-oriented working style with strong problem-solving skills - Resilience under pressure, especially during tender deadlines What our client offers - A key role in an established medical device company with high operational responsibility - Opportunity to improve processes and contribute to organizational development - Direct reporting line to the Country Manager Italy - Full-time position based in Ancona with hybrid work options after onboarding - Start date: as soon as possible, fix-term contract If you are an experienced operations professional with strong knowledge of Italian healthcare tenders and a hands-on leadership approach, we look forward to receiving your application.
