Job Overview
We are seeking an Operations Intern based in Italy to support our team with on-the-ground coordination and document quality control. The role combines remote administrative work with in-person and telephonic follow-ups at Italian universities and public offices, resolving cases that cannot be completed online.
This position is well suited to an international student currently enrolled at an Italian university who is familiar with local administrative procedures and has contacts in more than one Italian city.
Key Responsibilities
- Conduct telephonic and in-person follow-ups with university admissions offices (segreteria studenti, ufficio relazioni internazionali) regarding pending applications, document submissions, and requirement clarifications
- Attend public offices in person where online submission is not accepted, including document collection, delivery, and verification
- Support students with post-arrival procedures, including codice fiscale, permesso di soggiorno applications, Questura appointments, residency registration, and bank account opening
- Accompany students to appointments where Italian-language support is required
- Coordinate follow-ups in cities outside your own through trusted contacts where in-person attendance is needed
- Review and cross-check student application documents against university admission, DSU scholarship, visa, and post-arrival requirements
- Verify current procedural requirements directly with institutions and report findings to the operations team
- Provide written updates on each assigned task, including outcomes and outstanding items
- Hold Zoom meetings with students to explain requirements and guide them through each stage of the process
- Follow ApplyAZ internal guidelines and contribute to improving process efficiency
Requirements
- Currently enrolled at an Italian university (Bachelor's, Master's, or PhD)
- International student, preferably from South Asian countries
- Working knowledge of Italian sufficient for telephone calls and in-person interactions at public offices
- Fluent in English, both written and spoken
- Familiarity with Italian university admissions procedures, DSU/ISEE parificato, and immigration processes
- Contacts in multiple Italian cities who can assist with in-person follow-ups where required
- Strong organisational skills and attention to detail
- Reliable, professional, and able to meet deadlines independently
Preferred Qualifications
- Prior experience in student services, administration, or the international education sector
- Knowledge of additional regional languages
- Personal experience completing the Italian study visa and enrolment process
