You will support the managing director of a family office operating in Milano, Munich, Luxembourg, and the U.S. You are a trusted individual, a manager with foresight, and an organized coordinator. We are looking for a hands-on, loyal person who works with precision, efficiency, and independence.
Your responsibilities will include the following tasks
- Setting up and organizing efficient office management and a systematic filing system
- Implementing accounting and payroll systems in collaboration with an auditing firm
- Independent correspondence with business partners in German and English
- Preparation and follow-up for advisory board and supervisory board meetings: organizing meetings, including coordinating schedules for all participants, preparing agendas, and drafting minutes and summaries
- Close coordination with the assistant in Munich: schedule management, travel management
- Support with day-to-day operations (organizational and administrative)
- Independently taking on individual projects
Requisiti:
Your Profile
- High school diploma with completed business training and/or further training as an executive assistant
- Several years of experience as an assistant in a comparable position with relevant references
- Excellent communication skills and a confident command of written and spoken German; good English skills are expected
- You are able to handle pressure, flexible, and highly motivated
- You enjoy taking the initiative and handle stressful situations with composure
- You are accustomed to conducting yourself professionally and have a high standard of quality
- You have a structured approach to work and a knack for numbers
