It also fosters and maintains relationships with subregional institutions. /p h3Reporting Lines /h3 pThe incumbent reports to one or more Professional Staff Officers International Consultants and receives guidance from other colleagues in the work unit. /p h3Technical Focus /h3 pThe incumbent performs a large variety of routine operational, administrative, and logistics services and office support functions. He/she contributes to the smooth and efficient running of the work unit and delivery of the organizational unit's programme and projects. /p ul liOffice and Administrative Support /li liFinance Support /li liHuman Resources Support /li liProcurement Support /li liTravel and Administrative services Support /li liProgramme and Operations Support /li /ul h3Tasks And Responsibilities /h3 pThe incumbent will perform the following tasks: /p h3Office and Administrative Support /h3 ul liManage petty cash, accounts, utilities, and financial records. /li liMaintain assets, inventory, stationery, and administrative files. /li liCoordinate local and international travel, including registrations, payments, and refunds. /li liSupport office communications and administrative operations. /li liRetrieve, verify, and maintain financial and administrative data. /li liSupport recruitment and coordination of affiliate workforce. /li liPrepare routine administrative and financial correspondence. /li liSupport front desk, visitor reception, and mail distribution. /li /ul h3Finance Support /h3 ul liManage petty cash, imprest accounts, financial records, and transactions (under the supervision of the Budget Holder) /li liMonitor budgets, expenditures, and prepare financial reports. /li liReview and process vendor, consultant, and project payments. /li liSupport project payments, allowances, and budget performance monitoring. /li liProvide financial guidance and support to staff and improve office procedures. /li /ul h3Human Resources Support /h3 ul liSupport the overall hiring plan for hiring of national and international affiliate workforce. /li liDevelop and/or review Terms of Reference of affiliate workforce and ensure compliance with current standards and regulations.



/li liCoordinate and manage the publication of calls to attract candidates for vacancies related to national and international affiliate workforce, ensuring proper dissemination to attract qualified talent. /li liOrganize and facilitate the selection process, including coordinating interviews with the selection panel and preparing reports on evaluated candidates. /li liManage the complete cycle of contracts for national and international affiliate workforce in the Global Resource Management System (GRMS), ensuring the collection and verification of required documentation. /li liSupervise the validity of contracts for national and international affiliate workforce in and take appropriate measures in coordination with supervisors for renewal or termination as necessary. /li liProvide administrative support, including recording worked hours for the payment of fees to national and international consultants and other related tasks. /li liCollaborate in implementing actions to promote a respectful and harmonious work environment, aligned with the organization's values and commitments. /li liFacilitate knowledge exchange and best practices within the office, promoting collaboration, continuous learning, and innovation. /li liAssist in the performance evaluation process of national and international consultants, providing logistical and administrative support for the preparation and recording of their performance evaluation reports (QAR). /li liMaintain confidentiality and handle sensitive information with discretion. /li /ul h3Procurement Support /h3 ul liManage procurement processes in line with FAO rules, procedures, and donor requirements. /li liReview requisitions, create and manage POs/contracts in GRMS, and maintain supplier records. /li liConduct market research, tenders, bid evaluations, and supplier selection. /li liCoordinate procurement, deliveries, contracts, and supplier performance. /li liSupport procurement committees, prepare reports, and maintain accurate records. /li liProvide procurement guidance to project teams and requisitioning units. /li liMonitor procurement plans, budgets, compliance, and contractual obligations. /li /ul h3Travel and Administrative services Support /h3 ul liPlan and coordinate official travel and ticketing with travel agents. /li liReview travel authorizations, expense claims, entitlements, lump-sum payments, refunds, and recoveries. /li liEnsure compliance with FAO travel policies and provide guidance to staff. /li liProcess and reconcile travel payments, recoveries, and accounting adjustments. /li liResolve travel-related queries, rejected transactions, and outstanding claims. /li liSupport Finance with consultants’ travel deductions and honoraria payments. /li /ul h3Programme and Operations Support /h3 ul liAssist with project planning, implementation, monitoring, and reporting. /li liAssist with work plans, budgets, procurement, contracts, and staffing. (under the supervision of the Budget Holder) /li liEnsure financial compliance, reporting, communication, and EU visibility. /li liAssist with project reviews, coordination meetings, and timely closure. /li liSupport field activities, training, and farmer engagement /li liCollect field data and document results, photos, and feedback.
