Act as the main point of contact for the COO’s office, coordinating communication and ensuring smooth information flow with internal and external stakeholders Proactively manage and help prioritize the COO’s agenda, ensuring his time and attention remain focused on the most relevant business topics Drive meeting readiness by coordinating agendas, collecting contributions from different teams, and ensuring materials are clear, concise, consistent, and executive-ready Coordinate leadership meetings, offsites, client engagements, and other high-level events involving the COO, ensuring seamless preparation and execution Support the COO on special projects and strategic initiatives, coordinating stakeholders, timelines, priorities, and execution Manage a complex and dynamic calendar, balancing competing priorities, dependencies, and rapidly changing business needs Organize complex international travel and related logistics, ensuring smooth planning, execution,
and last-minute adjustments when needed 3+ years of experience as an Executive Assistant supporting C-level or senior executives in a fast-paced, international environment ~ Complete fluency in both Italian and English, with excellent written and verbal communication skills ~ Excellent organizational and prioritization skills, with the ability to manage multiple topics simultaneously and quickly adapt as priorities shift ~ A highly proactive mindset and the ability to anticipate needs, exercise sound judgment, and operate with a high degree of autonomy ~ Excellent attention to detail and the ability to quickly turn complex or fragmented information into clear, concise, executive-ready materials ~ Confidence using modern productivity and AI tools to streamline workflows, synthesize information, and improve the effectiveness of the COO’s office OverIT is a unique transformation project in the SaaS space arena, full of ambition to scale and grow globally.
