Purpose of the Role The Admissions Coordinator is responsible for supporting a professional, efficient, and welcoming admissions process that converts enquiries into enrolments and ensures new families experience a smooth transition into the Canadian School of Milan. The role underpins the day-to-day operations of the Admissions function, maintains accurate records and systems, and works closely with Marketing and Senior Leadership to strengthen the school’s admissions pipeline and family experience.
Key Responsibilities
Core Duties
● Manage and respond to all admissions enquiries in a timely and professional manner, ensuring strong follow-up with families who have not yet applied (with particular priority on Early Years).
● Coordinate and support school visits, tours, and Open Days, including the use of designated meeting spaces, standardised visit structures, and trained student tour guides.
● Guide families through the application process on Open Apply, collect and verify required documentation, and support the preparation of Welcome Packs and onboarding for new starters.
● Assist with ManageBac rollover, accurate data entry of new families, and the maintenance of clean admissions records to support enrolment projections and reporting.
Collaboration & Communication
● Act as a key point of contact for prospective and newly enrolled families, providing clear, warm, and consistent communication throughout the admissions journey.
● Work closely with the Admissions & Marketing team, relevant SLT members, and teaching staff to coordinate visits, interviews, and feedback.
● Participate in regular Admissions & Marketing meetings and support clear internal communication regarding enquiries, visits, and enrolment status.
Administrative Support
● Maintain accurate and up-to-date records on Open Apply and related systems.
● Support the development and documentation of Admissions protocols and standard operating procedures.
● Assist with scheduling, preparation of materials for visits and Open Days, and general administrative tasks that ensure the smooth running of the admissions function.
Compliance & Standards
● Handle family data and documentation in line with data protection requirements and school policies.
● Ensure all admissions processes follow agreed protocols and maintain confidentiality at all times.
● Support the accurate and consistent use of school systems (Open Apply, ManageBac) and contribute to the continuous improvement of admissions procedures.
Person Specification Essential Desirable Qualifications University degree or equivalent; fluent written and spoken English Professional qualification in education, administration,
or related field; fluency in Italian Experience Experience in school admissions, enrolment, or a comparable client/family-facing administrative role Previous experience in an international school; familiarity with Open Apply and/or ManageBac Skills Excellent organisational skills, attention to detail, and ability to manage multiple priorities; confident user of databases and office software Experience developing processes or documentation; basic data analysis skills Attributes Professional, empathetic, and discreet manner; strong interpersonal skills with families from diverse backgrounds; proactive and solutions-focused Flexibility to support occasional evening or weekend events Other (right to work, checks, languages) Right to work in Italy; willingness to undergo required background checks Working knowledge of Italian; additional languages an advantage Working Relationships
