About the BOSP Florence program
The Bing Overseas Studies Program (BOSP) provides transformative educational experiences that inspire students to embrace new challenges in complex global settings.
The BOSP Florence program serves approximately 55 students each academic quarter. Students engage deeply with Italian culture through coursework, internships, field trips, and other experiences that draw on Florence’s rich cultural and academic resources. The Program Coordinator is responsible for assisting the BOSP Director in Florence with the continued development and support of the highest quality undergraduate academic program in all of its student-related aspects. This role is responsible for academic program support, general administrative support, co-curricular coordination, and student services. The Program Coordinator is also directly responsible for local and visiting faculty support.
This position reports to the Program Director in Florence.

Oversee academic resources and coordinate scheduling, logistics, and general preparation for all Center course offerings, including classroom scheduling and syllabi.
Maintain close contact with Stanford visiting faculty, local instructors, student ambassadors, prospective and enrolled students, and BOSP staff.
Ensure consistent application and understanding of course policies for students and faculty.
Onboard Italian instructors; Coordinate with the Florence Program Advisor and BOSP Student Services Manager to address accommodations and housing needs.
Assist the Director with curriculum development in collaboration with the Academic and Student Services Coordinator.
Provide onboarding materials and academic preparation to new faculty and course assistants
Cultivate and maintain relationships with local institutions and service providers
Greet visitors, answer phones, and serve as a resource for general inquiries and unit procedures.
Perform daily administrative functions, including mail handling, data entry, supply monitoring
Maintain digital and physical filing systems and manage documentation workflows such as the faculty handbook.
Draft and disseminate internal and external communications Coordinate production of academic and promotional materials such as handouts, presentations, reports, brochures, and displays.
STUDENT SERVICES (50%)
Serve as the primary contact for students pre-arrival and throughout the program, offering academic, cultural, and personal advising in collaboration with the Director and the rest of the team.
Address housing concerns and accommodation requests in collaboration with the teams in Florence and in the U.Plan, schedule, and participate in Orientation,and extra-curricular events.
Coordinate logistics for student-focused activities and meetingsSupervise student groups during excursions; Serve as a point of contact for assigned student cohorts and support out-of-classroom learning.
Respond to inquiries from students, faculty, staff, and external constituents; provide reliable support on student services and policy matters.
work with the Director and staff on timely resolution of urgent student matters.
Support students in crisis or facing complex issues; Foster the intellectual life of the Program by engaging students in structured and informal discussions on campus life, global affairs, and Italian history and society.
Support and mentor student ambassadors; Contribute to the creation of student-facing reports, online portals, and communications; Education and Experience:
Bachelor’s degree or equivalent and at least three years of relevant experience, or an equivalent combination of education and experience.
A master’s degree is preferred.
Experience working within U.Experience working in an international academic environment (student services, faculty support, academic administration, office administration, or a related field).
Native or near-native Italian language proficiency, both oral and written
Native or near-native English proficiency, both oral and written
Strong interpersonal skills,
adept at fostering and maintaining effective collaboration, trust, teamwork and respect.
Advanced knowledge of Italian culture, history and business etiquette.
Computer proficiency with skill in using Microsoft Word, PowerPoint and Excel.
Demonstrated ability to establish priorities, manage shifting priorities, and handle numerous time-sensitive projects with multiple deadlines, working independently and collaboratively as appropriate with professional colleagues both within the center and abroad in a team-orientedenvironment.
Strong attention to detail with a high level of accuracy.
Demonstrated creativity, problem-solving, critical analysis, initiative, judgment, and decision-making skills.
Understanding of working in a complex university or similar environment with proven ability to exercise patience and flexibility with students, parents, staff, and faculty and outside constituents.
Awareness of and sensitivity to the diverse population of Stanford University students.
This role is student-facing and requires regular, full-time, on-site work at the Florence Program location five days per week, from Monday to Friday. The Program does not provide relocation assistance for this position.
Ability to travel locally and/or internationally with occasional overnight travel
