The Global Medical Congress Operations Lead is responsible for ensuring the seamless planning, coordination, and execution of global medical congress activities during a temporary leave period.
Acting as the central point of contact for Medical congress operations, this individual will maintain momentum across ongoing projects, facilitate cross-functional collaboration, oversee external vendors, and ensure timely delivery of congress-related objectives.
This role requires strong experience in Medical Affairs operations, scientific event management, stakeholder engagement, and vendor oversight within a pharmaceutical, biotechnology, or healthcare environment.
The successful candidate will be highly organized, proactive, and capable of driving multiple workstreams in a fast-paced global setting.
Key Responsibilities
Congress Planning & Execution
Represent Medical Affairs in Congress Steering Committee and Congress Working Group meetings.
Ensure continuity of global congress planning, preparation, execution, and post-congress activities.
Maintain oversight of congress timelines, milestones, deliverables, and key dependencies.
Monitor progress across multiple congress initiatives and proactively address risks, delays, and operational challenges.
Support the successful delivery of congress objectives across therapeutic areas as required.
Cross-Functional Coordination
Serve as the primary point of coordination for Medical congress operations.
Facilitate effective collaboration between Medical Affairs, Commercial, Compliance, Operations, Procurement, and other key stakeholders.
Ensure alignment of priorities, timelines,
and deliverables across all congress workstreams.
Drive timely decision-making by coordinating stakeholder input and escalating issues when needed.
Maintain visibility of ongoing activities and ensure clear accountability across teams.
Oversee external scientific, medical, and event support vendors.
Coordinate vendor activities to ensure deliverables are completed on time and to the required quality standards.
Monitor vendor performance and resource utilization.
Identify and eliminate duplication of effort and unnecessary vendor expenditure.
Scientific Content & Post-Congress Activities
Coordinate interactions between Medical Directors, scientific vendors, and operational support partners.
Ensure congress content development and review activities progress according to plan.
Main Requirements:
Bachelor's degree in Life Sciences, Pharmacy, Healthcare, Business Administration, Communications, Event Management, or a related discipline.
Minimum 5 years of experience in Medical Affairs, Medical Operations, Scientific Events, Congress Management, or a related function within the pharmaceutical, biotechnology, or healthcare industry.
Proven experience coordinating and managing international or global medical congresses and scientific meetings.
Experience working with external agencies, vendors, and service providers.
Demonstrated success in coordinating complex, cross-functional projects involving multiple stakeholders.
Strong understanding of pharmaceutical industry compliance requirements related to congresses and scientific events.
