ppbStanford University's Bing Overseas Studies Program (BOSP) /b is excited to announce an opening for a bProgram Coordinator with its Florence, Italy /bprogram.
We are seeking qualified candidates to join our dynamic team and contribute to our mission!
/p h3About the BOSP Florence program /h3 pThe Bing Overseas Studies Program (BOSP) provides transformative educational experiences that inspire students to embrace new challenges in complex global settings.
/p pThe BOSP Florence program serves approximately 55 students each academic quarter.
Students engage deeply with Italian culture through coursework, internships, field trips, and other experiences that draw on Florence's rich cultural and academic resources.
The Program is Stanford University's longest-standing overseas center.
/p h3Position Summary /h3 pThe Program Coordinator is responsible for assisting the BOSP Director in Florence with the continued development and support of the highest quality undergraduate academic program in all of its student-related aspects.
This role is responsible for academic program support, general administrative support, co-curricular coordination, and student services.
The Program Coordinator is also directly responsible for local and visiting faculty support.
/p pThis position reports to the Program Director in Florence.
/p pAll materials (e.g., resume and/or references) must be submitted in English.
/p h3In this role, your primary duties and responsibilities will include: /h3 h3ACADEMIC PROGRAM SUPPORT (30%) /h3 ul liOversee academic resources and coordinate scheduling, logistics, and general preparation for all Center course offerings, including classroom scheduling and syllabi.
/li liMaintain close contact with Stanford visiting faculty, local instructors, student ambassadors, prospective and enrolled students, and BOSP staff.
/li liEnsure consistent application and understanding of course policies for students and faculty.
/li liOnboard Italian instructors; conduct regular check-ins to support alignment and instructional quality.
/li liCoordinate with the Florence Program Advisor and BOSP Student Services Manager to address accommodations and housing needs.
/li liAssist the Director with curriculum development in collaboration with the Academic and Student Services Coordinator.
/li liProvide onboarding materials and academic preparation to new faculty and course assistants /li liCultivate and maintain relationships with local institutions and service providers /li /ul h3ADMINISTRATIVE SUPPORT (20%) /h3 ul liGreet visitors, answer phones, and serve as a resource for general inquiries and unit procedures.
/li liPerform daily administrative functions, including mail handling, data entry, supply monitoring /li liSupport with the organization of meetings, conferences, and events /li liMaintain digital and physical filing systems and manage documentation workflows such as the faculty handbook.




/li liDraft and disseminate internal and external communications Coordinate production of academic and promotional materials such as handouts, presentations, reports, brochures, and displays.
/li /ul h3STUDENT SERVICES (50%) /h3 ul liServe as the primary contact for students pre-arrival and throughout the program, offering academic, cultural, and personal advising in collaboration with the Director and the rest of the team.
/li liAddress housing concerns and accommodation requests in collaboration with the teams in Florence and in the U.S.Plan, schedule, and participate in Orientation,and extra-curricular events.
/li liCoordinate logistics for student-focused activities and meetingsSupervise student groups during excursions; lead additional outings as assigned by the Director.
/li liServe as a point of contact for assigned student cohorts and support out-of-classroom learning.
/li liRespond to inquiries from students, faculty, staff, and external constituents; provide reliable support on student services and policy matters.
/li liParticipate in the 24/7 emergency response rotation; work with the Director and staff on timely resolution of urgent student matters.
/li liSupport students in crisis or facing complex issues; provide guidance or referrals and manage sensitive situations with discretion.
/li liFoster the intellectual life of the Program by engaging students in structured and informal discussions on campus life, global affairs, and Italian history and society.
/li liSupport and mentor student ambassadors; assist with ambassador recruitment and engagement strategies.
/li liContribute to the creation of student-facing reports, online portals, and communications; oversee accuracy of website content.
/li /ul h3To be successful in this role, you will bring: /h3 h3Education and Experience: /h3 ul liBachelor's degree or equivalent and at least three years of relevant experience, or an equivalent combination of education and experience.
/li liA master's degree is preferred.
/li liExperience working within U.S. higher education, particularly in highly selective university environments.
/li liExperience working in an international academic environment (student services, faculty support, academic administration, office administration, or a related field).
/li /ul h3Knowledge, Skills and Abilities: /h3 ul liNative or near-native Italian language proficiency, both oral and written /li liNative or near-native English proficiency, both oral and written /li liStrong interpersonal skills, adept at fostering and maintaining effective collaboration, trust, teamwork and respect.
/li liAdvanced knowledge of Italian culture, history and business etiquette.




/li liComputer proficiency with skill in using Microsoft Word, PowerPoint and Excel.
/li liDemonstrated ability to establish priorities, manage shifting priorities, and handle numerous time-sensitive projects with multiple deadlines, working independently and collaboratively as appropriate with professional colleagues both within the center and abroad in a team-orientedenvironment.
/li liAbility to accomplish goals working through formal and informal channels, with diplomacy and tactfulness.
/li liStrong attention to detail with a high level of accuracy.
/li liDemonstrated creativity, problem-solving, critical analysis, initiative, judgment, and decision-making skills.
/li liUnderstanding of working in a complex university or similar environment with proven ability to exercise patience and flexibility with students, parents, staff, and faculty and outside constituents.
/li liAwareness of and sensitivity to the diverse population of Stanford University students.
/li /ul h3In addition, requirements include: /h3 ul liBe legally authorized to work in Italy /li liThis role is student-facing and requires regular, full-time, on-site work at the Florence Program location five days per week, from Monday to Friday.
The Program does not provide relocation assistance for this position.
/li liAbility to travel locally and/or internationally with occasional overnight travel /li liMay work variable hours, occasionally on evenings or weekends /li /ul h3Physical requirements* /h3 ul liConstantly perform desk-based computer tasks.
/li liFrequently sitting.
/li liOccasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds or 5 kilos.
