The Customer Service Specialist is responsible for the operational and administrative management of customer orders within the Mass Market (GDO) channel, ensuring a high level of service and supporting coordination among customers, sales teams, logistics, supply planning, and finance. The role involves monitoring the entire order lifecycle, from order receipt to fulfilment, ensuring accuracy, timeliness, and effective resolution of any issues that may arise.
We are partnering with a leading international Personal Care company to recruit a Customer Service Specialist.
Description
Manage the order entry and order monitoring process across different channels.
Ensure the smooth flow of information between customers, sales teams, logistics, and supply chain functions.
Handle issues related to deliveries, returns, and customer complaints.
Verify the accuracy of commercial agreements and promotional conditions applied to customer orders.
Create and maintain customer master data records.
Support administrative activities related to orders, invoicing (invoices and credit notes), and customer contracts.
Prepare reports and analyses also using Excel on service levels, backlog, deliveries, and customer performance.
Collaborate with internal teams to ensure service objectives are achieved for key Modern Trade retail accounts.
Manage day-to-day operational communications with Italian customers.
Provide support to supply chain activities when required
Profile
A successful Customer Service Specialist should have:
High School Diploma or Bachelor's Degree in Business Administration, Economics, or a related field.
Previous experience in Customer Service, Order Management, or Commercial Back Office roles.
Excellent command of English, both written and spoken.
Advanced proficiency in Microsoft Excel (Pivot Tables, lookup formulas, reporting).
Strong attention to detail, organizational skills, and customer-oriented mindset.
Preferred Qualifications
Experience managing customers within the mass market (GDO) sector.
Basic knowledge of accounting and administrative processes, including invoicing, credit notes, payment management, and reconciliations.
Experience with ERP systems (SAP, Oracle, or equivalent).
Familiarity with logistics and supply chain processes.
Job Offer
Annual salary between €30,000 and €34,000.
Performance-based premio of 10% MBO.
