Help us build the operating system of a small hotel

Principe di Salina is a 14-room, adults-only boutique hotel in Malfa, on the island of Salina. It was founded in 2017 by a family who came home after international careers, and it runs on one idea: we take care of people, and everything else is just a room. We call the style barefoot luxury: high standards without stiffness, real attention without ceremony. We open from April to November and we are small on purpose, so every detail is visible.

Next season we are changing how Principe welcomes and looks after its guests, and we are rebuilding the operations behind it from scratch. It only works if everything behind the scenes runs perfectly: the allergy mentioned in an email reaches the kitchen, the anniversary reaches housekeeping, and the late hydrofoil reaches everyone, without anyone carrying the information by hand. You make that happen. You will help us design the model, not just run it, working directly with the owner and General Manager as her sparring partner.

If you have run events, projects or an operations team, you already know most of this job.

THE ROLE

You run the day and the information behind it. You report to the owner and General Manager and lead a small reception team: two concierges and one part-time colleague.

- In season: you organise the inbox and plan the day before guests wake up, and run a short 8:00 briefing with reception, restaurant and housekeeping. You handle back-office correspondence, payments, agencies and suppliers, support check-out when it gets busy, and close the loop each evening: every arrival correctly recorded, the next day’s report ready, the evening concierge briefed.
- Guest communication: you answer enquiries with warmth and clarity and present our rates and offers with confidence. Pricing is decided together with the owner. You carry out the plan and bring back what the inbox tells you.
- December to March, fully remote: you look after guest correspondence, make sure every booking, request and preference is saved correctly in the system,



and build our new operating model with the owner: procedures, templates, checklists and the training that kicks off the team in April.

Who we are looking for

A project manager's mind in a hotel.

- You see the details and the big picture at once, and you can hold the day, the information and the team in your head.
- You like systems, checklists, clear handovers and a clean inbox.
- You enjoy corresponding with guests, and writing a warm, clear email is something you like doing.
- You are reliable and transparent. Your information is clean, your word holds, and the team knows where they stand with you.
- You are open to learning and you challenge how things are done, including by us. We want someone who will say, "this will break when three couples arrive at once."
- You have organised other people, not only your own work.

Hospitality experience is a plus, not a requirement. Project coordination, events, operations or executive support are equally welcome. We will teach you our systems, including Cloudbeds and the OTA extranets.

You need fluent English, the working language of the business, and conversational Italian (around B1) for daily contact with housekeeping and the team. Italian emails can be handled with support.

Island life

Salina is an island and island life has limits. The team is small, evenings are quiet and October is very quiet. In return you get a place of rare beauty, a close team and, in winter, complete flexibility: six months working remotely from wherever you call home, with a base on Salina whenever you want one. You will be happiest here if you are self-sufficient and like organising your own days when nobody is checking.
