This role requires a high level of confidentiality, initiative, curiosity, sound judgement and influencing skills, along with excellent communication, planning, and organizational capabilities. /ph3As a Personal Assistant at Arup, you will: /h3ulliManage complex and dynamic diaries, coordinating travel arrangements, and organizing internal and external meetings both in Italy and overseas, ensuring alignment across multiple stakeholders /liliProactively anticipate needs and priorities, identify process improvements, provide ongoing feedback, support effective decision‑making where appropriate. /liliAct as a key point of contact for clients, senior stakeholders, and Internal teams. /liliLiaise with staff and other personal assistants both nationally and internationally. /liliOrganize internal team meetings, book meeting rooms, ensuring high-quality delivery and experience. /liliWork on your own initiative and as part of a team managing a broad range of administrative Responsibilities to a consistently high standard. /liliProvide occasional support to front‑of‑house operations when required, ensuring an efficient and professional first point of contact for clients and staff. /We are looking for someone proactive and dynamic. /h3ulliPrevious experience (+5 years) at an executive level with a proven record of excellent Executive /Personal Assistant skills in both Italian and English. /liliResponsive, adaptable, and flexible in meeting changing business needs and priorities. /liliExcellent knowledge of MS Office software. /liliHigh level of Italian (C1).
