For the italian headquarter based in MILANO NORD we are looking for an **EXECUTIVE ASSISTANT**. The Executive Assistant has to support and assist the CEO. He/she is the main point of contact on behalf of General Management. Her/his main duties will be: - Management of the CEO's diary, appointments, meetings, and travel.
- Booking flights, trains, rental cars, and hotels for the CEO, guests, and staff during events and/or travel.
- Corporate events management, in according with Marketing &Communication; Department.
- Supervision, analysis and check the documents for the CEO's signature (e.g. customs declarations, quality documents, various supply orders, estimates, proxies, meeting minutes, Board of Directors documents, etc.).
- Set the supplier’s contracts draft and confidentiality agreements (NDA).
- Data extraction and processing at the request of management (e.g., Assodel, statistical data from SAP, etc.).
- Supplier’s invoices check.
- Support for Health&Safety; Responsible, Compliance, and Quality activities, especially for compiling and processing data for ESG reporting.
- Coordination of maintenance and facilities, including gardening.
- Management of stationery and office equipment for the headquarter and the field.
- Support in managing the company car fleet (car rental contracts as Fleet Manager, fuel cards, Telepass, and maintenance supervision). She/he will performe her/his duties weel if: - The CEO is happy: nothing on his agenda was missed and every activity is well performed.
- The internal organization is fluid and harmonious.
- Unexpected events are handled promptly and calmly.
