As a Finance Assistant, you will help keep our expense, travel and business cost processes accurate, compliant and efficient. You will also support day-to-day finance operations for our Italian legal entity, including invoice checks, coding, approval follow-up, payment oversight and monitoring of the legal mailbox.
What we expect from you as a Finance Assistant:
- Keep financial records accurate and audit-ready by recording transactions, completing bank reconciliations and maintaining organised filing and data entry.
- Support accounts payable by coordinating supplier information requests, answering supplier and invoice queries, and processing supplier payments.
- Review employee expense claims and travel requests against the TrueLayer Business Travel & Expense Policy, checking receipts for vendor, date, itemised purchases and tax breakdown, as well as descriptions, categories, cost centres and submission timeframes.
- Escalate out-of-policy or above-threshold items (for example premium travel upgrades, late bookings, exceptions and client entertainment above threshold) following the documented approval lines, and record the rationale and outcome.
- Return incomplete or non-compliant claims to employees with clear, constructive feedback.
- Monitor travel bookings in Navan for policy compliance, including booking through Navan, fare caps and advance-booking rules.
- Support company card administration, including reconciliation reminders, missing receipts and flagging anomalies.
- Answer employee questions on expenses and travel, and point colleagues to the right policy or process.
- Identify recurring policy breaches or process gaps and suggest improvements.
- Support the business with ad hoc requests, such as credit card requests and payment queue checks.
- Monitor the certified legal mailbox (PEC), review incoming requests, summarise the key points and forward them to the appropriate teams.
About you:
- Experience in finance administration or a similar role, ideally within accounts payable or expenses.
- Strong attention to detail and the ability to spot inconsistencies.
- Ability to apply a policy consistently and to recognise when to escape.
- Clear written and spoken communication, with a tactful approach when querying or returning claims.
- Good organisation and time management, and comfort working to deadlines.
- Proficiency with spreadsheets and office tools.
- Fluent Italian and professional-level English, as you will work with colleagues across several countries.
We would be particularly excited if you have:
- Experience with expense and travel tools such as Navan, Expensify or similar.
- Familiarity with accounts payable software such as ZIP, and with accounting software, ideally NetSuite.
Don’t meet all the requirements?
Multiple studies have shown that women and people of underrepresented groups are sometimes less likely to apply to jobs unless they meet every single requirement. At TrueLayer, we are committed to building a diverse workforce, so if you are excited about this role and have the essential skills, but not the entire checklist — we'd still love to hear from you
