Tender Coordinator
Who will you be working with?
You will be part of the Transit Services WEMEA Sourcing organization, working with PL Managers, S&T; Managers, KAM, Commodity Managers, and Site Sourcing Teams. You will report to the Transit Services Sourcing Director WEMEA and coordinate a team of two people.
How will you make a difference?
As a Tender Coordinator you will be responsible for coordinating the team and managing tenders in line with the requirements of the Sales function. You will prepare and communicate cost inputs to build the Forecast completion, clearly outlining assumptions and risks to enable Go/No-Go decisions. You will use Bid List/Black List provided by Commodity Managers where possible, support Site Sourcing during execution when needed, and ensure proper documentation and handover of tender data. You will also identify risks and cost-saving opportunities during the tender phase.
What will your typical day look like?
Coordinate the Tender Sourcing Team:
Balance workload between the Tender Sourcing Team in order to reach the targets to deliver the costs to the PL responsible. Help the Team to find alternatives or solutions to blocking problems. Act as an expert on the multiproduct approach.
Manage the tenders in due time and quality requested by the Sales function:
Communicate Direct Cost values for External Suppliers, Direct Labor (to be provided by Methods) and Sisco cost (to be provided via SISCAT by commercial)
to the PL or S&T; or KAM in order to build the Forecast completion, communicating all the assumption taken and all the possible risks (obsolescence; competitors; ect..) enabling the commercial function to decide the Go/No Go of the tender.
Attach, when possible, to the Bid List/Black List from Commodity Managers:
Use as much as possible and whenever possible the BL/BL provided by the Commodity Managers to ease the execution part and concentration of preferred supplier panel. If it is not possible, this will be informed and aligned to make everyone aware of the choice and motivation.
Support Site Sourcing on the execution of the tender if needed:
Store in the shared folder all Tender quotes, BOM or assumptions taken to be able to handover the Tender to execution. Support with Make or Buy or cost saving actions considered in the Tender phase.
Create cost savings opportunities from Tender phase:
Highlight and track all risks and opportunities that are found on the Tender phase to participate in the Contract Management Improvement Plan (CMIP) or Deflation/Inflation budget.
